Job Description

The receptionist is responsible for the reception area, including answering the telephone and directing clients to the appropriate

Personnel, file organization.

Essential Duties

  • Answer all telephone lines and direct calls to appropriate personnel
  • Take messages and/or assist clients as much as possible
  • Greeting and assisting all incoming visitors
  • File necessary documents in filing system
  • Distribute mail to all personnel
  • Responsible for scanning, sorting and mailing all documentation
  • Process customer requests via telephone and/or fax
  • Preparing client folders
  • Making copies of all client information
  • Assist the other accounting or branch personnel as needed
  • Miscellaneous duties as assigned

Skills

  • Ability to operate multi line telephone
  • Basic mathematic skills (add, divide, multiply and subtract units of measure)
  • Ability to clearly communicate verbally
  • Ability to interpret instruction
  • Ability to utilize basic office machinery (multi line telephone, fax machine, copier, etc.)
  • Proficient in Excel & Word
  • bilingual - Spanish
  • A must have friendly customer service attitude
  • Must be reliable

Educational Requirements and/or Experience Required

At least a high school diploma or equivalent, however some college or related coursework is preferred. At least 6 months of clerical experience is preferred.
