ADMINISTRATIVE OFFICER (AO), Office of Graduate Education (OGE), to have primary administrative responsibility for managing the financial, human resources, facilities, and other administrative matters within the Office of Graduate Education and staff supporting the Graduate Student Council (GSC). Will oversee the overall management of finance and administration for approximately eighteen staff members serving over 6,500 graduate students at MIT. Will be responsible for projections, proposal and management of the OGE operating budget, financial transactions, managing revenue, internal and external audits, fellowship financial administration, grant proposal processes, human resources administration, facilities-related activities, managing student appointments, compliance, database management, supervision, and training and mentoring of five staff members. Will report to the senior associate dean/director of OGE and serve as a member of the office’s senior management team.

Job Requirements

REQUIRED: a bachelor’s degree in finance, accounting, or business management; a minimum of five years of experience in an administrative, executive, or management position, preferably in university administration; demonstrated organizational skills, good judgment, and discretion; excellent organizational, analytical, financial, and communication skills; ability to manage changing and conflicting priorities and meet deadlines.; outstanding leadership, supervisory, interpersonal, and communication skills; flexibility; ability to handle sensitive and confidential matters; knowledge of databases and spreadsheets, sponsored program activities, and accounting principles; competence using MIT management reporting systems (including SAP, Data Warehouse, COEUS, and BrioQuery); and experience overseeing a variety of accounting transactions. Familiarity with student information systems such as MITSIS and the Graduate Appointment Portal (GAP) preferred; as is MIT experience and knowledge of its financial, HR, and operational systems. Staring salary range: $90,000 - $115,000
