This position will report to the Manager of HR Compliance. The Compliance Specialist will be the subject matter expert and primary point of contact for all I-9 and E-verify related questions. In addition, this role will ensure accuracy and integrity of data by performing audits related to the mini master, researching errors, and making corrections to records in applicable HR systems.
CORE JOB RESPONSIBILITIES:
Subject matter expert on I-9 employment eligibility verification process:
Responsible for ensuring all Ulta Beauty US associates have successfully completed an I-9 form and E-Verify process and are eligible to work in the US.
Point of contact for hiring Managers for questions related to I-9/E-Verify regulations and the electronic I-9 system as well as visa questions presented at the time of the initial I9 or during the re-verification process.
Monitors data within the electronic I-9 system and communicates with Hiring Manager in a timely and appropriate manner regarding any issues or concerns.
Investigates and ensure proper notifications are delivered in a timely manner for all discrepancies in the e-verify system and follows escalation process to ensure compliance.
Monitors E-Verify exceptions to final resolution and communicates to appropriate parties.
Conducts I-9/E-verify audits to ensure all associates documentation is active and positively proves eligibility to work in the US
Ensuring integrity of employee and organizational data within HR systems:
Responsible of the accuracy and integrity of employee data by managing the mini master report daily, researching errors, and making corrections to records in applicable HR systems.
Ability to understand trends for causes of accuracy of data and take an active approach to correct the problems from re-occurring.
Provide feedback and coaching to Managers on how to process various actions in HR systems as necessary
Additional special projects as requested by management.
REQUIREMENTS FOR CONSIDERATION:
A bachelor's degree in Human Resources, Information Systems or related field preferred or 1-3 years of Human Resource experience.
Must have strong analytical skills and critical thinking ability
Understanding and experience with HR data, compliance, reporting, and auditing.
Ability to work independently, with high-level of attention to detail, accuracy and thoroughness.
Working knowledge of HR disciplines and processes.
Ability to effectively communicate with members of the HR team as well as employees and managers.
Exceptional written and verbal communication skills
Strong organizational skills, sense of urgency and follow-through
Ability to multi-task and remain organized in a fast-paced environment
Excellent collaboration and communication skills
Proficiency in Microsoft Office applications including Word, Excel (advanced), and PowerPoint
