Represents part of the front office team that is responsible for front office patient contact and smooth patient flow. Greets patients, gathers and verifies insurance information, answers the telephone, schedules appointments, and collects payment at the time of service.
High School Diploma or equivalency. Basic knowledge of health insurance.
1 year medical office experience.
No special certification, registration or license required.

Primary Duties and Responsibilities
Assists patients with a basic understanding of their insurance benefits and reimbursement.
Closes the office and turns the phones on night attendant.
Collects co-payments and other receipts at time of service.
Complies with all applicable state and federal laws and regulations regarding medical billing.
Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards and safety standards. Complies with governmental and accreditation regulations.
Keeps patient and public areas clean.
Maintains all patient files in an orderly manner. Pulls patient charts for next day appointments. Files charts, lab reports and correspondences on a daily basis.
Opens mail and distributes to appropriate personnel.
Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in meetings, serves on committees and represents the department and hospital/facility in community outreach efforts as appropriate.
Performs other duties as assigned.
Pleasantly and promptly greets and assists all patients, guests and the public. Registers and checks-in all patients upon arrival at the office. Ensures patient information is current on all patient records. Verifies and gathers patient demographic and insurance information. Enters data accurately and quickly into the practice management system. Prints encounter and registration forms.
Prepares medical records for new patients.
Prints the physicians daily schedule and distributes to appropriate staff.
Promptly informs back office staff of patient’s arrival. Informs patients of delays and expected waiting times. Provides updates as necessary. Identifies problem or distressed patients and informs Practice Manager/Coordinator or physician.
Reconciles and batches all daily charges and payments at the end of each day, verifies accuracy and forwards to MGMD.
Responsible for understanding and performing the functions of the phone system for the effectiveness of daily operations. Answers medical office telephones and acts as initial patient triage. Transfers calls to other personnel as appropriate. Takes accurate messages.
Schedules physician visits with patients ensuring that daily budgetary goals are met.
Verifies completeness and accuracy of all encounter forms. Gathers all encounters at the end of the day including encounters for patients who did not show up for their appointment or patients who rescheduled their appointment the same day.
