The Program Specialist is responsible for operational processes related to contract and grant-funded training programs, contracts and grants for training for private businesses, nonprofit organizations and governmental organizations.
The Program Specialist works closely with customized training staff to create and maintain processes related to the sale of customized training and the management of grants and will focus on the largest projects/contracts that require substantial monitoring and service. This individual will ensure that contracts, service agreements, hiring agreements, course materials, classroom assignments, and all related information are prepared in order to provide training services to specific clients. The Coordinator will also manage correspondence, databases/CRM, reporting functions, and financial reconciliation related to training services. Additionally, this position will work closely with academic affairs in coordinating credit instructions through customized training contracts. This will include ensuring correct processing of applications, monitoring registrations, and coordinating with the registration office.
This position must manage many operational processes in a busy and fast-paced environment, utilize multiple databases to manage various activities, use the Microsoft Office suite and Adobe products with great proficiency, and be a highly organized self-starter who identifies creative ways to solve problems and improve productivity and efficiency.
Specific duties include:
Assists Customized Training Representatives in the development and delivery of major projects
Manage the all administrative (non-sales related) tasks of assigned programs
In collaboration with staff, prepares course schedule document for publication and delivery
NOTE: Must be able to travel between campuses and to off-site locations.

2 year degree in business (management, marketing, event management) or related field
2 years of experience managing projects or educational programs
Skills necessary to organize meetings with professional associations, community groups, partnering businesses, and individuals
Proficiency in common office software, particularly MS Excel to create and maintain spreadsheets
Customer service orientation
Previous experience in continuing education and customized training or Minnesota State Colleges & Universities
Experience with market research or data analysis
Process improvement and project management skills and experience
