Reports To: Lead Sales Support Coordinator

Job Purpose

The Insides Sales Customer Service position will be responsible for supporting the Sales and Project Management Teams as well as direct customer support

Duties and Responsibilities

Creates quotations for standard, pre-engineering, stock, and trade chambers following departmental and ISO guidelines. Processes include, but are not limited to:
Maintaining customer files in servers and PPL reports
Formal quote presentation
Entry and maintenance of data in SAP
Create quotes following appropriate guidelines and seek required approvals
Manage required documentation such as RFQ’s and SOW’s
Export Compliance
Direct and collaborative communication with internal customers
Receives, processes, distributes and maintains files for all new purchase orders. Responsible for review of confirmation of purchase order terms, scheduling of job release meetings, order entry and down payment processing. Notify acceptance of order release and change notification updates following departmental and ISO guidelines.
Maintains high level of customer satisfaction as a point of contact for customers and external sales staff.
Must exhibit professional communication via email, telephone, web, and social media
Researches and resolves inquiries from other departments regarding quotations, purchase orders, job releases, change notices, and/or other miscellaneous items
Provides administrative support to internal and external Sales Team as well as product Management Team
Assists with phone relief coverage for receptionist as needed
Additional responsibilities as determined by the Sales Managers or CEO

High school diploma or GED required. Associate degree or higher preferred
Prior experience as an Administrative Assistant; or other equivalent relevant work experience preferred
Excellent phone etiquette skills
Excellent verbal, written, and interpersonal communication skills; command of English language both verbal and written
Ability to follow verbal and written instructions and work with minimal supervision. Self-starter.
Ability to effectively work independently and as a team member
Proficient computer skills in Word, Excel, Power Point
Excellent Math skills preferred
Initiative in applying problem solving skills preferred
Ability to organize and manage multiple projects to meet deadlines
Mechanical and technical aptitude preferred
Punctual and dependable
Professional attire/appearance due to interaction with customers
Working Conditions

Mostly stationary work with occasional movement throughout the facility to access files, office machinery, etc. Works at a desk and a computer screen for extended periods of time. Employee must be able to manually enter data to the computer system and understand the screen and images that appear. Frequently lifting and carrying up to 10 lbs and occasionally lifting up to 50 lbs. Use of hands to hold, lift and handle materials. Occasional climbing, bending and squatting.
