Police Athletic League (PAL) is the largest independent youth organization in New York City that provides educational and recreational activities for children and young adults. PAL Inc. and The New York City Police Department work in partnership to provide communities with summer and after-school recreational and educational activities.
We are looking for a temporary Administrative Assistant who will be responsible for the overall administration of the MIS Department which includes but is not limited to the following: monthly reports, personnel records, general office files, membership registration, documentation of member and staff attendance, professional use of phones, office inventory and supplies, receipt and dissemination of mail.
This is a temporary position starting in mid-November, 2018 for a period of 12 weeks.
Major Duties & Responsibilities
Responsible for the office administration for MIS Department.
Handles all incoming calls/emails and service requests from all offices.
Manage the Helpdesk system, dispatch on-site services, and follow up with the users.
Process Purchasing Requisition & Vouchers for all technology services and equipment.
Manage (produce, process and filing) all the documents in the MIS Dept.
Report problems to external service providers (internet, phone & printing) and to ensure all users problems are covered and resolved.
Manage and update the contents of palnyc.org website (under Squarespace.com).
Assist the CIO to select and manage the service vendors, to ensure we could acquire the best options of services financially and technically.
Manage the Copier Leasing contracts for all offices.
Responsible for the inventory records of all the technology equipment in all offices.
Manage the Employee photo ID System.
Skills & Knowledge/General Comments
College Degree is preferable
Demonstrated skills and competencies in the program and human resource administration, and ability to manage multiple administrative tasks while meeting deadlines.
Ability to creatively problem-solve information management challenges.
Professional communication skills, both oral and written. Ability to interact professionally and effectively with staff, volunteers, program members, parents, community residents, visitors, and vendors.
Computer proficiency in Microsoft Word, Access, Publisher, and Excel.
Familiarity and compliance with office protocols involving dress, demeanor, record keeping, confidentiality, staff meetings, visitors, and employee use of supplies and equipment.
