Performs a wide variety of responsible and complex administrative, secretarial and clerical duties for Department Heads and staff. This position is the full journey-level classification and incumbents perform the complete range of support duties.
Essential Duties and Requirements:
Composes, types, proofs, and edits complex correspondence, legal documents/contracts, memos, tables, reports and publications using word processing, spreadsheet, and desktop publishing software; and uses moderate independent judgment as to content, accuracy, and completeness.
Collects information from files and/or staff assigned to the organizational units and prepares routine inquiries and periodic reports.
Maintains confidentiality of sensitive information related to regulatory agencies, vendors, personnel matters, outside contractors, and various other business associates.
Prepares requisitions, purchase orders, and handles receiving for department using computerized purchasing/inventory program.
Maintains a calendar of activities, meetings and various events for assigned departments; arranges for conference rooms; and makes travel arrangements as required.
Acts as custodian of departmental documents and records.
Establishes and maintains filing systems.
Administration of contract documents.
Communicates with other departments to maintain positive relations, and to obtain needed information and support.
Answers phones and screens callers and visitors.
Receives, sorts and distributes incoming and outgoing correspondence.
May act as a liaison between the Department Heads and their subordinates.
Uses a computer and appropriate software including database, spreadsheet, and word processing software and programs to obtain, organize and maintain information.
Operates standard office equipment as assigned.
High School Diploma/GED
3 years Administrative Support Experience
Certification and Licensures:
Successfully pass a security sensitive background screening. Required
Knowledge, Skills and Abilities Requirements
Knowledge of legal terminology, legal format and standard legal instruments.
Excellent grammar, proofreading, and English composition skills.
Proficient in Microsoft Office applications including Outlook, Excel, Word and PowerPoint.
Ability to prepare a variety of correspondence from rough drafts or verbal instructions.
Ability to handle sensitive information in a confidential and professional manner.
High level of initiative, effort and commitment toward completing assignments accurately and efficiently with attention to detail.
Ability to perform mathematical calculations relative to the position.
Excellent writing and oral communication skills.
Ability to effectively organize, prioritize, plan, and stay on schedule to meet deadlines.
Ability to work independently and complete assigned tasks with minimal supervision as well as within a team environment.
