Administrative Assistant/Vendor and Customer Relations
Performs a range of clerical and administrative duties to support
Vice President/Operations and Executive Vice President.
Coordinates schedules, greets visitors and assists with telephones as necessary.
Assist with Sales Conference planning.
Creates and/or updates communication, reports, applications, contracts and proposals for internal purposes, price comparison, marketing presentations, etc.
Assists with analysis of reports to identify problems, trends, opportunities.
Researches specific requests from management, Team Members, Members and Preferred Suppliers.
May assist with updating Contracts.
Establishes and maintains necessary files for a range of matters which may include employee attendance records, purchasing history and analysis, communication equipment, Member status, etc.
Researches assigned topics and prepares timely reports identifying trends, opportunities, etc.
Assists in preparing and distributing New Member information (Welcome, web access, etc.), New Preferred Supplier information, Member or Vendor communication and special projects.
Maintains accurate databases including sales history, member rolls, etc. to assist in pinpointing opportunities and problems.
Works with Preferred Suppliers to update vendor pages on website.
Monitors web contacts, distributes to appropriate Team Member and monitors follow up and conclusion.
Surveys Members who cancel to determine reason for drop and how service may be improved.
Communicates with Members and Vendors to insure satisfaction and discuss renewals.
Gathers and distributes information to Members and Vendors.
Cross trains with other staff and performs other similar duties and special projects as needed to assure that members and vendors are provided superior service at all times.
- Associate Degree in Business Administration or appropriate course work and proven
administrative skills. Minimum two years in similar fast-paced position.
- Excellent organizational, clerical and administrative skills.
- Computer skills including Excel, Word, PowerPoint,etc. Prefer some graphics
- Constant Contact or similar experience.
- IT experience is a Plus.
- Ability to communicate effectively with co-workers, Suppliers, Members, etc.
- Customer/Vendor Relations experience
- Self-starter with positive, caring, “can do” approach.
