Front Desk Receptionist (Multiple Shifts Available)

The front line service provider for residents. This includes handling inquiries, incidents and requests from residents, contractors, service providers and visitors. The concierge provides a variety of services to residents including coordinating moves to handling packages and dry cleaning services.

Essential Job Functions

Owner Interaction

  • Work to provide positive and professional service to residents when possible while maintaining an efficient presence on the property and in the entry.
  • Understand and administer Association policies and provisions in order to provide homeowners, residents and guests with the highest level of courtesy, service and positive interaction. Within restraints for safety and security at all times.
  • Respond to all requests from residents on the phone or e-mail in a timely manner.
  • Facilitate communication between the residents and property management.
  • Create communication strategy for residents including e-mail, elevator bulletins and website activities to best respond to building updates, security issues and emergency situations.

Activities may range from:

Arranging for transportation and/or providing local bus schedules

Property orientation and resources

Purchase décor or flowers for the common areas

Recommendations for activities and accommodations

Collecting packages and dry cleaning – notifying residents


  • Maintain daily logs of all activities:
  • Property tours and inspections
  • Vendors and work accomplished
  • Guest entry
  • Package delivery and notification
  • Assist residents with all needs and document their request and how managed
  • Keep a database for residents and units that will provide up to date information such as but not limited to unit, emergency contact information, parking and package specifications.
  • Develop relationship and maintain database on property service providers. Collect invoices and reports to be provided to the Community Manager on request.
  • Track petty cash and expenses for the buildings.
  • Inventory and keep available all required supplies for the office and on-site maintenance needs.
  • Activate and Deactivate access devices as necessary for new residents, lost and stolen replacements.
  • Coordinate and track move-in/move-out activities and fees. Ensure that the building has all minimum requirements for individuals to move-in prior to granting access. Advise owners of the cost and payment assessment process. Enforce occupancy policy.
  • Maintain building concierge systems such as intercoms, computers and access systems.
  • Monitor building systems and assist maintenance with light tasks.

Maintenance and Security

  • Perform security inspection of building, interior and exterior of the building.
  • Monitor and screen people seeking access through the front door.
  • Review surveillance systems and building entry. Notify Community Association Manager or Board of Directors of any suspicious activity witnessed.
  • Provide emergency access to property or homes as requested by residents during normal business hours.
  • Regularly inspect common areas including lobby and elevators for organization. Keep the building common rooms such as fitness centers neat and usable for all residents.
  • Perform basic cleaning on common areas including cleaning glass, emptying garbage, spot cleaning counters, lift fingerprints from elevators, mop spills as necessary to daily.
  • Monitor building systems and assist maintenance with tasks such as lighting, temperature, access, and coordination of association work and/or building inspections.

Policy Implementation

  • Enforce Association policies and declarations requirements and inform residents as required about policies.
  • Investigate complaints and disturbances. Provide information regarding violations to Community Manager and Board of Directors for resolution.

Education and Experience

  • High school diploma or GED equivalent required
  • Proven excellence in customer service and administration
  • Proficient in Microsoft programs including Excel and Outlook
  • 2 – 3 Years experience preferred

Skills and Knowledge

  • Highly organized and able to use a variety of methods
  • Communicates effectively both verbally and in writing
  • Basic design skills to create communication strategies
  • Proficient in Microsoft programs including Excel and Outlook
  • Able to learn new software with changes to building and security systems

Physical and Environmental

Must be able to lift up to 50lbs and be able to move a dumpster if requested

Tasks may require racking leaves or shoveling snow outdoors

Able to work around cleaning products

Fine manipulation of phone and keyboards

Job Type: Full-time

Salary: $15.00 to $17.00 /hour
