Job Summary:
As an experienced member of the team, the Receiving Clerk is responsible for the proper receipt, storage and distribution of medical supplies per established policy and procedure. Independently or with indirect supervision, is responsible for the proper management of capital assets from receipt to tagging to delivery to those departments responsible for its preparation for point of care use (e.g. construction, engineering, biomed). Is proficient in the use of the computer functions for securing and tracking product to assure that automated stores inventories match actual stores inventories. Operationally contributes to manager’s goal of controlling the dollar value of inventories on hand, balancing maximum turnover with minimum adequate supply, insuring fiscal responsibility. Make recommendations for improvement. Acts as resource for less experience staff. Contributes to other departmental support duties as assigned. Consistently demonstrates behaviors that model the SJHS core values and the Hospital’s mission statement.

Essential Functions:
1.Receiving

  • Maintains effective relationships with vendors/distributors of stock materials to insure
efficient transactions at the receiving dock. Coordinates vendor traffic at the receiving

dock with the traffic produced by adjacent disciplines (e.g. emergency, construction,

engineering) to insure maximum efficiency of supply chain. Communicates in a manner compatible with a values based operation. Acts as manager’s liaison when interacting

with vendors, escalating issues as appropriate to the manager.

  • Verifies all shipments to ensure items ordered are received as ordered and in correct
quantities.Accurately logs into the computer in a timely manner to support inventory

control directive of the department. Coordinates shipments for barcode tagging before

delivery to patient care area.

  • Carefully logs and coordinates the receipt and delivery of goods not associated with direct
purchase orders, e.g. FedEx, UPS, etc. Maintains careful records (non-Meditech based)

. Regularly advises manager of activities with regard to this type of delivery.

Communicates with peers and manager when warranted regarding backorder and other

pertinent issues affecting normal routine supply chain.

  • Tags capital equipment. Collaborates closely with those departments responsible for
proper certification/installation/etc. of capital equipment (e.g. construction, engineering,

bionmed). Maintains careful records (non-Meditech based) of capital equipment

purchased by corporate offices for delivery to Mission Hospital. Advises manager of all

activities with capital assets.

  • Receives MSDS forms from the good received and forwards to the Materials
Management Office Coordinator for distribution to the hospital safety manager.

  • Provides assistance to customers regarding
Information on methods of shipping/delivery

Resolution of late/improper deliveries

Coordination of assets for major construction projects

  • Demonstrates the ability to perform behavioral competencies (generic and unit specific)

Inventory/Stores
  • Participates in the efficient movement of inventory from dock to storeroom to central
supply or customer location. Makes reasonable, practical decisions to prioritize and/or

adjust activities to meet daily changing conditions without direct supervision of manager.

Advises manager as appropriate. Makes recommendations for improvement.

  • Keeps storage areas stocked, clean, and properly labeled. Participates to insure that
aisle/row/shelf/bin locations exist for all stock items and are compatible with what is

defined in the computer for maximum efficiency. Notifies manager regarding

discrepancies.

  • Assures automated inventory control by logging EVERY receipt and issue of product into the
computer. Notifies manager regarding discrepancies between automated inventory and

actual inventory. Utilizes computer-based reports to suggest corrective action with

attention to inventory levels and impact to general ledger accounts.

  • Rotates storeroom and central supply inventory as appropriate.
  • Participates in the inventory security goal of the department by minimizing/eliminating the
presence of unauthorized personnel & visitors in secured inventory storage areas.

  • Demonstrates the ability to perform behavioral competencies (generic and unit specific)
asindicated on the competency inventory.

Distribution
  • Participates in the organized, coordinated, and accurate issue and distribution of supplies
customer site per departmental policy/procedure and manager leadership. Uses

automated systems as available to maximize efficiencies. ALWAYS obtains legible and

valid signatures from receiver of products at the point of delivery. Makes

recommendation for improvement.

  • Demonstrates knowledge of medical/surgical supplies and their use for purposes of
controlling inventory and servicing customers.

  • Participates in team efforts, under the direction of manager in the event of recall requiring
actions such as retrieving/remedying inventory in stock.

  • Demonstrates the ability to perform behavioral competencies (generic and unit specific)
as indicated on the competency inventory.

Asset Management
  • As requested, assists with the movement and/or retirement of capital and other assets
within the hospital campus limits or to off-site storage.

  • Provides special oversight to assets received on loan via “no charge POs” with regard to
their condition on receipt, actual capital value, the hospital’s liability or liability waiver,

expected duration of trial, expected ship-back date and arrangement for return. Advises

manager and director regarding the dollar value and disposition of assets under this

classification.

Improving Processes
  • Participates in the team based, coordinated effort to maximize the efficiency of our delivery of
service, contributing ideas and/or carrying out new methods for delivering service.

Minimum Position Qualifications:
Education: High school diploma, GED, or equivalent experience

Experience: One year experience in inventory/warehousing and receiving

License / Certification: Valid Texas driver’s license and good driving record.

Preferred Position Qualifications:
Experience: 3 years experience as storeroom clerk in an acute care hospital setting.
