Position Summary:

Raider Hill is seeking an Office Manager and Executive Assistant to support the firm with all administrative matters and to manage the day-to-day operations of the office. This position will require extensive calendar management, travel coordination, and phone management. The position will primarily support two executives while also coordinating schedules with the firm’s Cleveland office. Ideal candidates will have at least 10 years of prior experience supporting c-suite executives. The position is located in the firm’s NYC office.

Responsibilities:

  • Support CEO and COO in all administrative matters
  • Answer phones and direct calls to appropriate personnel internally
  • Welcome visitors and clients to the office and ensure all guests have a positive experience
  • Coordinate domestic and international travel arrangements including flights, hotels, car service, etc.
  • Manage and maintain calendars, prioritize appointments and meeting requests, arrange meetings and conference calls
  • Manage address books to ensure all contacts are up-to-date
  • Coordinate personal travel as requested
  • Manage marketing collateral
  • Manage third-party vendors for print and digital marketing collateral, including letterhead, business cards, company brochures, and website
  • Manage and coordinate media relations as necessary
  • Create and manage corporate social media pages as requested
  • Manage incoming mail and vendor invoices
  • Manage online accounts for corporate credit cards
  • Ensure all invoices are paid to third parties in a timely manner
  • Work with the firm’s external accountant to develop sufficient internal reporting and bookkeeping for year-end tax purposes
  • Oversee all aspects of office management to ensure the office runs smoothly on a day-to-day basis
  • Order and maintain all office and kitchen supplies
  • Develop office policies and protocols as necessary
  • Develop and implement digital and physical file management systems
  • Conduct research and maintain company databases, as requested
  • Maintain the highest levels of confidentialit

Required Qualifications:

  • 10-plus years of prior experience supporting senior executives
  • Well-versed in MS Office Suite, specifically Word, Excel, Outlook and PowerPoint
  • Ability to prioritize tasks and meet deadlines
  • Desire to work in a fast-paced and results-oriented environment
  • Respond well to feedback and direction
  • Acute attention to detail and strong organizational skills
  • Proactive mindset and ability to take initiative to execute administrative duties in a professional and proficient manner
  • Prior administrative support experience
  • Take ownership for work assigned and completed

Work Conditions:

  • Nature of work requires ability to organize, communicate and exchange information as well as collect, compile, and prepare work documents while operating standard business office equipment
  • Work is performed in a general office environment
  • May require extended hours during peak periods
