Provide administrative/clerical support to a large number of professional staff. Duties may include the following:
Utilize Microsoft Office Applications - Word and Excel - with accuracy.
Perform accurate typing, word processing and data entry, including but not limited to: assignments of a confidential nature, answering and/or referring inquiries to appropriate parties, opening/sorting and processing mail, preparing correspondence, reports, and/or memoranda according to standard procedures and other supports to the Foster Care Review Unit as needed.
Maintain records for the Foster Care Review Unit, which includes filing, record management and archiving/purging old records. This may include periodic travel to the Central office FCRU.
Scanning and sorting of turnaround documents for Foster Care Review.
Enter Foster Care Review scheduling information in Family Net, as assigned.
Perform Family Net searches as required.
Provide support to Volunteer Coordinators, as needed.
Assist in the support of Director of Foster Care Review, as needed.
Provide administrative /clerical support on various projects as assigned.
Additional duties will include:
Provide support to the Western Regional Office serving as a rotating receptionist.
Greet clients and visitors; answer telephone calls; refer clients and visitors to appropriate department staff when needed.
Assist Hotline/Helpline Coordinators in scheduling functions.
Compile Clinical Review Team paperwork and other documents.
Provide administrative/clerical support on various projects for the Western Regional Office, as approved by supervisor.
Demonstrated ability in Microsoft Office Applications – Word, Excel and Access, Family Net, etc.
Ability to effectively handle complaints presented or referred to Foster Care Review.
Demonstrated ability to work with culturally diverse populations.
Demonstrated ability to maintain a professional demeanor in the public forum.
Ability to plan, organize and carry through on office events.
Ability to carry out work activities with a minimum of direction.
Ability to establish systems to improve overall performance of all clerical functions.
Ability to organize and maintain filing systems.

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) and equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.*
