BCG Nexus is an exciting new office based in Atlanta, GA, that is part of executing best-in-class operations serving the broader BCG business. Various regional and global functional teams will be co-located in a dynamic and engaging space that enables team members to connect with and serve our BCG and client customer base. Resident teams include regional functions (NAMR Administrative and Executive Assistants, Visual Services and Design, Finance, Executive Placement Services, HR/Immigration) as well as global functions (including Safety and Security, Innovations, IT). This is our second BCG office in Atlanta, and is located at 100 Peachtree NW (“The Equitable” building).

NAMR Administrative Services Leads will be responsible for the day-to-day line management of a team of administrative professionals based in Nexus, who will provide support to staff based in BCG offices across NAMR. The overall Administrative Assistant team in Nexus consists of >50 Administrative Assistants (and growing), and will be divided into teams of 25+ Administrative Assistants, each to be managed by an Administrative Services Coordinator. Administrative Services Leads will report directly to the NAMR Administrative Services Manager.

Please note, Administrative Services Leads manage teams that provide support to leaders across the US. The regular business hours will be 8:30am-5:00pm Eastern or 10:00am-7:00pm Eastern.

The Administrative Services Lead will be responsible for:
Working with the Administrative Services Manager (ASM) to implement the strategy for administrative support out of Nexus
Assisting in the hiring and onboarding process for administrative staff
Ensuring that their team is meeting quality service expectations, proactively identifying issues and suggesting remedies
Overseeing the day to day operations of their team
Manage overall performance and development of their team
Working collaboratively with the ASM and other Administrative Services Lead to identify process and people improvements
Participating and contributing to regional projects and initiatives, as appropriate
Implement the strategy for administrative support out of Nexus

Work with ASM to ensure that Administrative Assistants on team are providing the right level of support (in terms of # of people supported and types of support given)
Act as thought partner to ASM to identify new opportunities for types of support given, and how this could be implemented
Assist with hiring and onboarding plan

Provide guidance to ASM on possible attrition on team, to ensure accurate headcount projections
Actively participate in meeting talent and screening/interviewing
Assist with onboarding agenda and delivery of training; serve as lead presenter for various lecture topics
Ensure team meets service quality metrics, and remedying issues as they arise

Meet with ASM regularly to assess how team is doing against agreed service and utilization metrics
Identify issues and potential solutions in a timely manner
Oversee the day to day operations of the team

Manage and communicate administrative assignments
Ensure that any issues/delays in assignments are communicated and resolved
Manage schedules to cover backup needs (for sickness/leave/vacations)
Provide first point of contact for feedback or issues from customers
Identify and resolve service issues, and ensure that appropriate communication is taking place with customer and customer’s home office
Work with Team Specialist to ensure that weekly timesheets/expenses and overtime requests are managed in a timely and accurate way
Hold regular team meetings to update the group on relevant issues
Manage overall performance and development of the team

Motivate, develop, provide coaching and feedback through annual performance and development process and year-round informal feedback process
Actively collect and communicate feedback on ongoing basis, and for mid-year and year-end reviews
Oversee annual performance review process; write and deliver all reviews for the team
Partner with ASM and Nexus HR to ensure that performance issues are quickly identified and appropriately managed
Provide recommendations to ASM for promotions, bonus awards and performance management
Work with ASM and other Administrative Services Leads to create and encourage a stimulating work environment through
Providing input on appropriate training; identifying new training opportunities; encouraging participation in training
Fostering team work within work groups, across functions, and throughout the office
Working collaboratively with the ASM and other Administrative Services Leads to identify process and people improvements

Meet regularly with ASM and other Administrative Services Leads to provide updates on team, suggest process improvements, brainstorm people management topics
Assist ASM with communications materials for broader NAMR audience, where appropriate
Participating and contributing to regional projects and initiatives, as appropriate

Participate in ASMT meetings and regional initiatives by invitation
Make recommendations and assist in the formulation of administrative support staff procedures/operations
Perform other duties as assigned or required

Basic Job Requirements

Bachelor's degree or equivalent work experience
Several years of experience managing large teams, preferably managing people who are providing remote support
