POSITION

We are seeking a STUDIO COORDINATOR for immediate hire. The ideal candidate is self-motivated, proactive, and comfortable working in a fast-paced environment independently or within a team. He or she has a background or professional experience in the high-end fashion, design, architecture, or real estate space.

DESIRED SKILLS AND EXPERIENCE

Responsibilities:

  • Provide general administrative support to the Williams New York team, including meeting scheduling, travel arrangements, expense reporting, video/conference calling arrangements, and calendar maintenance
  • Manage clients’ live marketing deliverables by communicating with clients, briefing the studio team, controlling the quality of creative, and liaising with media vendors
  • Manage WNY’s social media account (Instagram) by implementing the defined style guide and playbook
  • Attend film shoots, photo shoots, and other productions to create social media content for WNY Corporate
  • Support Executive Creative Director and Account Directors in the preparation of creative marketing meeting
  • Support the creative team by researching references, pulling swipe imagery, and compiling marketing reports
  • Provide organizational support and execution of projects and initiatives, including reporting, system maintenance, data entry, and day-to-day administrative tasks
  • Plan office parties, dinners, and industry events
  • Welcome guests, offer beverages, and be a great first impression for visitors
  • Field inbound calls to the rest of the office, ensuring coverage during core working hours
  • Enforce office policies and procedures of order among all office staff
  • Order supplies and maintain inventory of all office supplies, including snacks and water
  • Coordinate office maintenance with building super
  • Troubleshoot printer, phone, and computer issues with external IT provider
  • Distribute incoming/outgoing mail, including arranging and managing deliveries to the office
  • Arrange and unpack food deliveries for the office, including catering requirements for internal and external meetings
  • Maintain the office and conference room; manage day-to-day cleanliness of the office and kitchen areas
  • Assist in the recruiting process by posting jobs, screening applicants, and scheduling interviews
  • Track expenses and complete expense reports for the executive team
  • Deal with third-party vendors for IT and other support functions

Qualifications:

  • 2-plus years of experience in an assistant or coordinator role
  • Excellent interpersonal, verbal, and written communication skills
  • Professional and positive attitude
  • Strong attention to detail and organizational skills
  • High level of integrity and confidentiality
  • Ability to respond quickly and appropriately to inquiries from all levels
  • High standard of excellence and an ability to multitask and prioritize various requests
  • Proficiency with MS Office Suite (Outlook, Word, and Excel)
  • Proficiency with Keynote
  • Proficiency with Adobe Creative Cloud is a plus
  • Experience using the Internet for general purchases and online deliveries
