The Project Support Specialist is responsible for providing project support to the Project Engineering leadership team and Project Engineers. The Project Support Specialist must work to support the entire team and ensure he/she understands the team roles and responsibilities, project deliverables and related dependencies.
Primary accountabilities are: on-boarding and off-boarding of contractors (contingent workers), scheduling and facilitating contractor safety training sessions, maintaining a contractor database, and providing support to Project Engineers on capital projects at the RM plant. The support accountabilities include timely and accurate response to a wide variety of requests. This position will also assist Project Engineers with preparing and routing capital project funding documents (CPAs), updating project information in the Capital Portfolio Management (CPM) system, issuing purchase requisitions, ordering equipment and furniture for projects, and be a resource to work with Pfizer representatives, contractors and accounts payable to resolve payment issues.
Specific Duties Include:
Contractor on-boarding/off-boarding and training
Plan, schedule and facilitate weekly construction contractor safety/security/GMP training sessions for 20-70 contractors. Training material to be provided.
On-board and off-board contractors. Maintain construction contractor database.
Assist site Security/HR with contractor badging process.
Capital Project Authorizations
Assist with preparation and routing of electronic capital funding requests (eCPA’s).
Facilitate and expedite QO (Quality) and EH&S (Environmental, Health and Safety) endorsements to be included in the eCPA packages.
Assist with creating and closing out capital projects in CPM (Capital Portfolio Management) system.
Assist Project Engineers with initiating capital purchase orders, purchase order changes, purchase order closures, work orders, etc. Maintain Pfizer confidentiality on bids, finances, and all other information.
Work closely with suppliers, vendors, and Procurement on capital purchases. Expedite PO’s and purchases as required.
Provide follow up with suppliers to assure timely deliveries, or be aware of any delays that might impact the project schedule.
Resolve discrepancies in PO’s, between financial systems and with other enabling groups including Accounting, Finance, and Procurement.
Work with suppliers to assure timely submittal and approval of invoices.
Assist Project Engineers with resolving invoicing discrepancies.
Order and ship commodities and samples for Factory Acceptance Testing of major equipment.
Schedule and follow up on major equipment deliveries on projects.
Assist the Project Engineers in accurate assessment of project status and forecasting, project funding dates, project closure dates, and other critical project information.
Ensure alignment between SAP project accounting and our project management databases.
Assist Project Engineers with closeout of projects in financial, accounting, procurement, capital portfolio management systems.
Support corporate procedures on capital and expense guidelines, corporate procurement guidelines, bid exceptions and other project management guidelines and practices.
Engineering Business Process Systems
Maintain and update all project related forms for Project Engineering as required.
Support, execute, and handle routing processes for Capital Project Appropriation requests, Project Initiation Forms, Single Purchase Capital Requests (SPCR’s), Project Change Notices, and other electronic routings.
Participate as a key member on the department safety team. Active participation on various departmental improvement and efficiency initiatives.
Communicate in a timely fashion on all matters that will have potential impact on own work.
Maintain department bulletin boards, schedule departmental meetings, travel request, etc.
Experience with scheduling and facilitating weekly training sessions (1-2 hour) with groups of 20-70 participants (training material is on-line and will be provided).
Knowledge of accounting, financial processes/controls, or project management systems.
Strong analytical and organization skills, capacity to quickly identify problems and structure solutions.
Ability to work in a fast-paced, deadline-driven environment with changing priorities. Ability to manage and prioritize a high number of activities accurately.

Experienced in a pharmaceutical / FDA-regulated manufacturing environment preferred.

Ability to write clearly, concisely, and persuasively in a professional environment.
Education: Minimum High School diploma with an Associate’s degree or equivalent in business, finance, accounting, or a technical discipline.
Experience: Minimum of 3 years preferred in finance, accounting or project management support experience. Must be proficient in Microsoft Office (Excel, Word, PowerPoint, Visio, and SharePoint).
Communication Skills: Excellent oral and written communication skills. Strong interpersonal skills, teamwork and problem solving skills.
