Chief Financial Officer
We are seeking a friendly, detail-oriented Payroll Administrator to join our finance team! Under the direction of the Chief Financial Officer, the Payroll Administrator is responsible for the accurate processing and maintenance of records for all aspects of the payroll function, and for maintaining records regarding insurance plans, pension plans, and other employment benefits.
This is a full-time, year-round position with full benefits - paid health and dental insurance, generous paid time off, tuition reimbursement, and a retirement plan with a 9% employer contribution.
High school diploma required; bachelor’s degree in Accounting or related field preferred.
Five years general payroll experience, preferably in a non-profit or educational setting and working knowledge of accounting, payroll deductions, federal and state tax filing, and insurance benefits.
Able to use computers, Microsoft Windows applications, and other related websites and computer programs at a proficient level.
Ability to establish and maintain cooperative and effective working relationships with all constituents (administrators, colleagues, faculty, parents, and others).
Strong communication skills, both oral and written.
Specific Duties & Responsibilities
Maintains overall payroll functions and responsibilities for all employees of Valley Forge Educational Services.
Prepares and processes the bi-weekly payroll based on appropriate employment contract or salary authorization and approved attendance records.
Maintains accurate records of employee attendance and paid time off (PTO) accruals and usage via Front Line, an on-line system. Resolves attendance discrepancies, notifies employees and supervisors of over-usage, and compares and updates PTO used based on the Front Line PTO usage report on a bi-weekly basis.
All reports are produced by Paylocity (current payroll company) and employee prints and reviews all related payroll reports (quarterly reports, unemployment reports, W-2’s, 1095-C’s, and any other forms involved with payroll). Confirms that all payroll deposits are accurate and processed by Paylocity on a timely basis.
Processes all flexible benefits plan elections to payroll and maintains balance records of such monthly.
Maintains and analyzes ACA requirements on a bi-weekly basis and reviews 1095 C’s quarterly.
Leads the external audit of the defined contribution plan and participates in the external audit of the financial statements and preparation of tax return.
Prepares and posts all payroll-related journal entries to the general ledger.
Assists Chief Financial Officer in preparing monthly financial statements.
Assists in the preparation of the annual agency-wide budget.
Prepares detailed summary analyses on payroll-related data as requested by Chief Financial Officer. (overtime usage, PTO usage, staffing levels, etc.)
Completes various account analysis (403B, Life Insurance, Prime Pay DCA and FSA accounts, etc.) as required by Chief Financial Officer.

Maintain proper credentials for assignment and remain educationally informed in all related areas, including PDE regulations and state/national standards through continued professional study and attending workshops and conferences.
Perform related duties, special assignments and projects as assigned.
