Spartan Capital Securities LLC, a rapidly growing financial services company, is seeking an experienced Executive Assistant to provide comprehensive support to two senior executives. Successful candidates should have a minimum of 3 years’ experience supporting executive level management in the securities industry and must possess a strong ability to multi-task, excellent written and verbal communication skills, a high level of organizational and time management skills, as well as a polished demeanor and a positive and friendly attitude.
The primary responsibilities include, but are not limited to, the following:
- General administrative duties (i.e. filing, faxing, copying, answering phones etc.) • Calendar management • Organize travel arrangements for employees • Process the opening of New Accounts via the clearing firm’s system. • Track and maintain New Account files in accordance with internal procedures as well as Regulatory Rules and Regulations. • Respond to phone calls/e-mails and request from clients. • Correspond with clearing firm personnel regarding margin, stock loan, reg t, buy ins, write offs, and documentation inquiries. • Coordinate with back office and clearing firm to resolve daily issues • Ad hoc projects as requested • Maintain a high level of confidentiality and professionalism at all times
• Knowledge of "RBC" a plus • Bachelor’s Degree preferred • Minimum of 3+ years of solid administrative assistant experience at the executive and/or C Level. •Must be extremely professional, organized, positive, flexible and possess a team player attitude.
