People’s OC is searching for a full-time Executive Assistant to provide support to the President and Chief operating officer of the company by providing high level administrative support. The Executive Assistant will be conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives. This individual must foster positive and effective relations and be able to assist with a broad range of business functions.

Compensation:
$62,500 annual salary

Responsibilities:As the Executive Assistant you will:
Assist the President and the Chief operating officer of People's OC with daily operations such as typing reports, memos, letters and other documents using word relevant computer software.
Answer phone calls and direct calls to the appropriate parties or take messages.
Record, type and distribute meeting minutes.
Read and analyze electronic correspondence, submissions and reports to determine their significance and plan their distribution.
Perform general office duties such as ordering supplies and maintaining record management data base systems.
File and retrieve corporate documents, records and reports.
Open, sort and distribute incoming correspondence. Make travel arrangements for the executive management team such as itinerary planning flight, hotel and seminar registrations.
Must be able to develop and maintain a filing system.
Run business errands on an as needed basis.
The Executive Assistant is responsible for maintaining highly sensitive company related documents for multiple businesses. Reminding the president and executive team of important tasks and deadlines by managing the calendar and filtering requests.

Qualifications:Required Experience:
Minimum 5 years of formal office experience.

Preferred Education and Experience:
Associates degree in Business Administration or bachelor’s degree in a related field.

Required Skills:
Must be able to thrive in a fast-paced environment while applying proficient organizational skills. The position requires excellent written, oral and communication skills. Must have the ability to organize, prioritize and handle multiple assignments. Ability to maintain confidentiality, analyze and make decisions. High degree of professionalism and conduct at all times. Proficiency is MS Office. Must be 21 and over.

Expected hours of work:
This is a full-time position. Days and hours of work are Monday through Friday, 8:30 am to 5 p.m.

Physical requirements:
While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
