Total Rewards Coordinator Benefits , Location Twinsburg Ohio

The Total Rewards Coordinator Benefits provides timely, accurate and compliant day-to-day administration and customer service in support of the Company’s employee benefits program including, medical and prescription, dental, life, flexible spending accounts, long-term disability and 401(k), and performs general administrative duties as assigned in support of the Total Rewards team. This position has no direct reports.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Follow established procedures and perform day to day benefits enrollment administration and customer service and ensure timely and accurate enrollment in UltiPro and vendor database systems
  • Act as first point of contact for benefits related employee inquiries and advise and assist individuals (employees and HR team members) regarding benefits eligibility and coverage for applicable benefit programs
  • Review and approve requests for new hire benefits enrollments and qualifying life events (QLEs) in accordance with plan provisions and regulatory requirements (e.g. Section 125, COBRA)
  • Perform new hire and temporary to permanent conversion data entry into UltiPro system
  • Respond to vendor inquires to support plan administration
  • Respond to requests for employment verification
  • Ensure accurate and timely processing of terminations to update enrollment databases and ensure timely delivery of COBRA offer notices and subsequent COBRA enrollment
  • Possess and apply knowledge of industry and Company’s benefit plan provisions, policies and administrative practices along with basic regulatory rules (Section 125, COBRA)
  • Perform record maintenance of employee enrollments in UltiPro and vendor databases and regularly reconcile enrollment accuracy across all databases (UltiPro and Vendors)
  • Review and reconcile monthly premium statements for all fully insured and self-insured group contracts and initiate invoice processing in accordance with Company policy
  • Maintain Human Resources Information System employee benefits records and compile benefit reports from databases as needed
  • Maintain benefit files in compliance with applicable legal requirements
  • Present to employees on benefit programs for open enrollment and as needed
  • Assist in responding to benefit and 401K audits and testing
  • Assist team during annual open enrollment period and other HR related projects, events and initiatives
  • Assist payroll coordinator in the preparation of payroll, as assigned
  • Ensure compliance with COBRA, HIPAA, and ERISA provisions, and assist with filing of required State and Federal reports
  • Document and update benefits procedures and processes
  • Assist with administration of rewards and recognition programs
  • Other duties as assigned
REQUIREMENTS:
  • Associates degree or equivalent experience
  • Minimum 2 years’ experience in employee benefits administration
  • Ability to independently identify, research and resolve issues
  • Effective verbal and written communication skills
  • Demonstrated ability to manage multiple priorities and deadlines
  • A decisive individual who possesses a detail oriented perspective
  • Ability to work with peers in a team effort
  • A well-organized and self-directed individual who is able to work with minimal amount of supervision in a fast paced environment
  • Persistence in following up to obtain information from various sources
  • Proficient in Microsoft Office and industry related software programs
  • Ability to work extended hours, weekends, and holidays pursuant with industry demands
PREFERRED QUALIFICATIONS:
  • Bachelor’s degree in human resources, business or related field
  • PHR or SPHR Certification
  • Experience with UltiPro HRIS system
  • Experience in healthcare or related field
WORK ENVIRONMENT:
Includes a typical office environment, with minimal exposure to excessive noise or adverse environmental issues.

PHYSICAL REQUIREMENTS:
Ability to sit for prolonged periods of time.
