Under the general direction of the Administrative Services Lead, the Executive Assistant will provide administrative support to Partners and Managing Directors and Principals as assigned. The primary responsibilities of this role include, but are not limited to, calendaring, coordinating complex domestic and international travel arrangements, processing complex time and expense reports on a weekly basis, organizing client and internal meetings, typing and editing various correspondence and presentations, and other administrative tasks as assigned.
The Executive Assistant will provide consistent and exceptional level administrative support as follows:

Manage and maintain Outlook calendars
Coordinate point-to-point travel and supporting arrangements (e.g., car service, flights, hotel, etc.) with Travel department
Organize and schedule client/internal meetings
Develop and maintain working relationships with clients, clients' assistants, case team members, and other BCG assistants and staff
Process timesheet and expense reports on a weekly basis
Respond to all client, case team, practice and functional area, internal committee requests in a timely and accurate manner
Organize and maintain electronic and hard copy filing systems
Answer telephones in a courteous and professional manner including client calls, lead calls and a wide variety of general administrative calls
Type and prepare client correspondence including but not limited to, proposals, presentations, letters, memoranda, etc.
Provide production support to case teams including slide generation, graphics, proofreading, editing, photocopying and book binding
Receive, screen, sort and prioritize all incoming mail and email; respond to inquiries as needed
Provide reasonable assistance with personal tasks to provide leverage (e.g., scheduling doctors' appointments, etc.)
Provide backup administrative coverage for Executive Assistants/Administrative Assistants who are out of the office on a scheduled or unscheduled basis
Provide backup Reception coverage on a daily basis, or as needed
Perform other administrative duties as assigned or required by other functional teams

Basic Job Requirements

Bachelors degree preferred, secretarial school degree or equivalent
Up to 5 years or more of administrative support experience; preferably at a professional services firm
Strong computer skills: MS Word, PowerPoint. Excel and Outlook, and Internet Explorer
Strong interpersonal and communication skills
Strong customer service orientation; flexible, team player
Strong organizational skills
Ability to multitask and to work effectively in a challenging, fast-paced environment
Ability to take initiative, apply creative solutions in high pressure situations and consistently meet deadlines
Meticulous attention to detail
Ability to maintain the highest levels of internal and external confidentiality
Flexible to work OT as required
