The primary responsibility of the Executive Assistant is to provide organizational and operational support to Senior leaders in the Information Technology organization. You must be able to handle sensitive and confidential information and have a passion for understanding the organization and business unit.
Major Responsibilities
Strategic Partner, to leaders assigned, in order to: increase focus and engagement, establish process, improve clarity and speed, maximize reach and help to communicate and implement vision.
Actively support and/or facilitate special projects as necessary, including conducting research and creating presentation materials for industry related and community activities, as well as, cross-channel and inter-departmental projects.
Play an instrumental role in the coordination, planning, and design of internal department events including manager meetings, department meetings, and other special events. This includes the coordination of senior leader meetings, functions, and events. Responsible for crafting agendas, recording and distributing meeting minutes with decisions, outcomes, and action item requirements.
Prepare correspondence, memos, and other written communication for team members, vendors, internal business partners, for review and use by senior leaders.
Proactively maintain calendar’s, manage phone and schedules for those leaders assigned. Maintain strict confidentiality. Scheduling appointments, including establishing appointment priorities and gate keeping access. This also includes making travel arrangements, completing travel itineraries and expense reports.
Education & Experience
Bachelor’s or a 2-year degree in any related field or equivalent of combination of education + 5 years of Executive Assistant work experience.
Prior experience in a senior administration support role working with business leaders required.
Confirmed experience working in fast-paced environment with an ability to work quickly without compromising quality.
Strong proficiency in the use of Microsoft Office Suite, including demonstrated, power-user skills in PowerPoint, Excel and SharePoint; and use of collaboration tools such as MS Teams.
Excellent verbal, written, communication and interpersonal skills.
Able to effectively prioritize and handle multiple tasks.
Typing skills of 50 wpm.
