JOB OVERVIEW:
Support the planning and execution of an organization-wide event portfolio towards a Special Events Department fundraising goal of 8M+; work closely with the Special Events/Volunteer Programs Assistant and Associate Director, Special Events to reconcile department revenue and expenses; coordinate with vendors and external partners to confirm necessary logistical elements for events; work collaboratively on marketing materials and communications projects related to Special Events.
WHAT A TYPICAL DAY MIGHT LOOK LIKE:
- Support planning and execution of City Harvest’s Signature Events. This includes working with vendors, internal and external stakeholders; overseeing event related mailings; coordinating supplies and onsite event elements such as auctions and sponsorship activations; and conducting post-event wrap up.
- Serve as organizational lead for City Harvest’s New York City Marathon team – including overseeing fundraising and communications with runners, serving as the point of contact for runners and NYRR; working cross-functionally with Marketing to produce all event materials and planning team training events and pre/post-race day parties.
- Conduct weekly reconciliations of Special Events department revenue, expenses, and vendor payments.
- Support planning process and serve as an onsite lead for City Harvest’s portfolio of cultivation and third party events, including giving society events.
- Prioritize multiple event timelines and work plans simultaneously.
- Coordinate simultaneous projects with internal and external partners, including key stakeholders and vendors.
- Develop production timelines and schedules for events.
- Manage event related budgets.
- Manage internal event process, including data and financial management.
- Coordinate cross functional projects both internally and externally.
- Departmental policy or procedures determine the nature and content of contacts.
