Alta Science & Engineering, Inc. is currently accepting applications from qualified candidates for a Front Desk Administrative Assistant position in our Moscow, Idaho office. This position has a critical role in the successful functioning of the office and can be considered the “glue” that keeps everything together. The successful candidate must be an enthusiastic, self-motivated, and organized individual who can work well independently and as part of a fun, energetic team. The position is full time, benefited, 40 hours/week.

General Summary and Responsibilities:
The Front Desk Administrative Assistant provides broad administrative support and serves as a key link between technical and support staff throughout the office and across the company, as well as being the initial point of contact for clients, agency representatives, and members of the public. Main duties:

Work regularly scheduled hours of 8 am–5 pm Monday–Friday (1 hour for lunch).
Work effectively and accurately in a multi-tasking environment, carrying out general office administrative and reception tasks.
Provide general oversight, task direction, and some assistance to Clerical Assistant.
Assist with maintaining the administrative files and records of the office and gathering and compiling information on a variety of topics, as requested.
Purchase and efficiently organize office supplies, as well as coordinating with cleaning staff regarding supplies and tasks.
Coordinate with applicable staff regarding equipment and vehicle maintenance; troubleshoot office technology issues.
Assist with final production of project files (print, scan, copy, bind, create PDFs, etc.).
Maintain discretion in handling confidential materials and information.
Promote a positive image of the firm and maintain a high degree of professionalism during interactions with Alta team members (across multiple offices in the region), clients, and others.
Actively promote good Health and Safety practices at all times.

Required Qualifications:
High School Diploma
5+ months of experience working in an office and/or customer service environment
Effective written and verbal communication skills including appropriate business telephone and correspondence etiquette
Self-motivation and ability to work independently, as well as demonstrated ability to work harmoniously and effectively with others
Strong organization and attention to detail
Solid working knowledge of MS Office (Word, Excel, Outlook, PowerPoint, etc.) and other relevant software packages
Good knowledge of office support functions including word processing, filing, reception, and summarizing data for reports
Valid driver’s license with insurable driving record

Desired Qualifications:
1 year or more of office administrative support or related work experience, preferably in a professional consulting environment
Associate’s or Bachelor’s degree in office management, business, communication or applicable field
Strong technical skills with office technology, computers, printers, etc.
Experience maintaining electronic and paper-based filing systems
Advanced working knowledge of MS Office Software packages
