OVERVIEW OF POSITION:
Responsible for preparing and formatting information for internal and external distribution for assigned group. This may include writing letters and memos, compiling data for reports, creating computerized presentations, writing reports, transcribing dictation, editing, proofreading and other information preparation duties.
Consistently exhibits behavior and communication skills that demonstrate organization’s commitment to superior customer service, including quality, care and concern with each and every internal and external customer.
Analyzes operating practices, record-keeping systems, forms control, office layout, budgetary and staff requirements to create, revise and implement changes to systems and procedures as necessary.
Resolves administrative problems by coordinating preparation of reports, analyzing data and identifying solutions.
Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
Using independent judgement maintains complex schedules including coordination of internal and external meetings.
Organizes and distributes correspondence, reports, memos, etc.
Manages travel arrangements and travel and expense reimbursements.
Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
Answers, screens and transfers telephone calls on a multi-line system.
Develops and maintains filing systems.
Collaborates with facilities team and property management/vendor(s) to address any issues/routine maintenance.
Supports with new teammate onboarding (including scheduling meeting with key stakeholders, ordering office supplies/equipment).
Uses, protects, and discloses HCP patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards.
Performs additional duties as assigned.
Minimum of a high school diploma, G.E.D. or Equivalent may include special certification required for specific jobs.
Bachelor’s degree preferred.
Over 5 years of experience.
7 years of administrative assistant experience in healthcare industry at the corporate level.
KNOWLEDGE, SKILLS, ABILITIES:
Ability to draft communications such as memos and letters.
Ability to compile and analyze data, identifies solutions, and develop executive summary.
Intermediate to advanced skills in Windows OS and Microsoft Office:
Microsoft Word capabilities including typing letters, memos and creating forms.
Microsoft Excel capabilities including creating or modifying graphs and tables.
Microsoft PowerPoint capabilities including the ability to create interactive presentations with graphics.
Ability to manage complex calendars and scheduling.
Multi-line telephone skills.
Able to take minutes (fast notes or shorthand).
Customer service oriented.
