We have an opportunity for an Executive Assistant to join our team in supporting our award-winning Founder and CEO, Jessica O. Matthews. This individual will be based at our Harlem-based office and will also play a critical role in overseeing the CEO’s calendar, as well as provide high quality administrative and clerical support on tasks that aid the daily routine of CEO.
Some of the role’s day-to-day tasks will include: serving as a helpful point of contact for our vendors and teammates, running errands, conducting research, and managing the CEO’s calendar. This individual will also be managing and planning various appointments and events, as well as coordinating travel arrangements and organizing the CEO’s daily calendar.
The ideal candidate will have a minimum of 1-2 years of related work experience and will be enthusiastic about working at a startup. As Uncharted Power is a startup, this individual will also be doing a variety of other tasks as requested to support the business. This role will be an hourly role from approximately 10 AM to 6:30 PM Monday through Friday for an initial 3-month contract (role to start at $15/hour). This role can and is intended to lead to a full-time role at Uncharted Power.
Managing the CEO’s calendar and arranging her daily schedule (arrange meetings and travel, as well as support VP of Marketing and P&R in speaking arrangements for CEO)
Aiding and supporting the performance of other clerical and administrative staff
Helping the office manager to make sure that the day-to-day of the office runs smoothly: conference rooms are ready for meetings, printers are working, repairs and cleanings are handled
Supporting with landlord relations and cultivating positive community and stakeholder relationships for Uncharted Power’s HQ
Facilitate and format information for internal and external communication such as memos, emails, presentations, and reports
Serve as a second reliable source in building relationships with vendors and building management, as well as serve as a backup for company contact for select independent contractors (for example, staying late to meet a TaskRabbit)
Making sure that office manager is being supported in relationships with representatives and making sure to that any additional coverage is being taken care of, filing a complaint, processing payment/refunds, vendor relationship management, contacting vendors for office repairs, paying vendors for services performed, keeping a record of vendor’s contact information
Work and communicate with Community Growth Coordinator in making sure CEO and Senior Director meetings, events and conferences are fully supported, coordinated and prepared
Overseeing and managing all calendar management for the CEO (scheduling, sending calendar invitations, etc.), as well as select on-going administrative support for the CEO
Familiarity with online calendars and cloud systems
Executing various other special projects (as needed)
Maintains client confidence and protects operations by keeping their information confidential
Acts as a second hand to make sure the office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
