ABOUT THE ROLE
The successful candidate will provide administrative support to the Pediatric Health Practice Leader as well as the leadership and staff throughout our Houston office.
WHAT YOU WILL DO
Greet clients, visitors, candidates and vendors in a courteous and professional manner.
Screen incoming calls for Houston office and route them to appropriate team member.
Communicate effectively, professionally and with tact when working with clients on administrative matters.
Partner with firm’s travel agency to book travel arrangements such as flight and hotel accommodations, transportation, etc. for Pediatric Health Practice Leader and Houston office.
Provide calendar and meeting management for the Pediatric Health Practice Leader with strategic interface between Leader and project delivery teams in schedule management.
Manage communications for the Pediatric Health Practice Leader such as screening, prioritizing and re-routing incoming calls, emails and meeting requests as well as routinely interfacing with C-Suite level clients and their executive administrative assistants.
Pull historical project information, prior presentations and data from past client engagements for the Houston Office Market Leadership and Pediatric Delivery Teams for business development proposals.
Compose, edit and proof simple to moderately complex documents, contracts and spreadsheets.
Coordinate in-house or off-site meetings and events, including meeting materials, equipment set-up, and ordering and set-up of food and beverages.
Maintain Houston office’s supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders and verifying receipt of supplies.
Ensure front desk, lobby, common areas and conference rooms are neat and maintained.
Prepare, receive, sort and distribute mail for the Houston office.
Manage site security with building vendor and act as key contact for building facility concerns.
Assist with training new hires on phone systems, building access, timesheets and expense reports.
Prepare expense reports/reimbursement requests.
Assist with the coordination of social events sponsored by the firm.
Perform as CannonDesign Academy Liaison for Houston office.
Cross train in administrative functions and tasks as directed by supervisor.
May handle other responsibilities as needed.
ABOUT YOUR QUALIFICATIONS
Associates degree required.
Minimum of five years of related experience working as an Administrative Support professional required.
Experience working in a professional services firm preferred.
Excellent verbal and written communication skills.
Strong attention to detail and focus on accuracy with work.
Ability to work in highly collaborative and deadline driven environment.
Strong organizational and time management skills.
Maintain confidentiality and exercise discretion.
Advanced skills in Microsoft Word, Excel and PowerPoint required.
Experience with Procore, Deltek Vision and/or other accounting software preferred.
