The duties of this job require a high degree of specialized expertise and skill in maintaining established standards of quality and accuracy. Drive, determination, and a self-disciplined approach to achieving results that meet these established criteria are necessary for successful job performance. The job environment is structured and job expectations are clear. While the pace of the work is faster than average, quality is never compromised. The focus of communication and organizational relationships is based on technical expertise. The work requires specialized technical problem solving and ingenuity while working within approved organizational systems and technology, and the demonstration of the values of integrity, quality, and caution. New ideas and concepts are also important but will be carefully analyzed and tested before communication and adoption. The position encompasses a defined span of control and opportunity for someone who engenders trust, demonstrates a sense of urgency, and assures consistent achievement of quality standards. The work requires making decisions that support company guidelines authoritatively and quickly.


  • Minimum of 10 years’ experience in commercial real estate;
  • Arizona Department of Real Estate license preferred but not required. Company will support employee obtaining a license;
  • Must have good working knowledge of multiple PC software programs such as Excel, Word, PowerPoint and Adobe Acrobat;
  • Ability to manage changing priorities, meets deadlines, work independently and follow through on assignments.

Duties and Responsibilities:

  • Work directly for the Asset Manager;
  • Maintain good tenant relations including monthly meetings with tenants and act as the primary contact with the tenant for all tenant-related matters;
  • Be available to take property related calls after hours and give direction;
  • Answer all tenant questions and prepare all tenant correspondence;
  • Maintain accurate paper and electronic lease files including contact information;
  • Track and maintain Certificates of Insurance files for vendors and tenants;
  • Manage the execution and distribution of various documents created by the legal team including but not limited to leases, guaranties, amendments, assignments, estoppels, SNDAs, etc.
  • Coordinate all maintenance requests;
  • Maintain general office and vendor contract files;
  • Prepare and update lease abstracts, calculate Lease Term, Rent Commencement, and Expiration date;
  • Prepare and maintain Co-Tenancy summaries, Use Restrictions and Exclusive Uses Summaries,
  • Track lease options, expirations & renewals;
  • Work with attorney regarding legal proceedings (bankruptcies, lockouts, etc.);
  • Be aware of property goals and ensure that you do your part towards meeting those goals;
  • Prepare and track property management agreements;
  • Revise and copy property management meeting sheets and coordinate monthly meetings;
  • Work with asset manager and accounting to prepare a budget for each property – routinely review budgets;
  • Work with ownership on all matters;
  • Gather items for due diligence request including tenant estoppels;
  • Coordinate and monitor tenant’s and Owner’s installation of monument and building-mounted signage;
  • Assist with switching over utilities when tenants occupy new space and when tenants vacate.
