Position Overview

The HR Assistant provides administrative and clerical support in various areas of the HR function. The role will primarily assist with file administration, onboarding, recognition, and leave administration.

Essential Functions

File Administration

  • Assist with distribution of mail and send outgoing mail (electronic) according to each requestor

· Maintain filing system by creating files for new hires and transferring terminated employees’ files accordingly. Uploading to HRIS documents as needed

Recognition

  • Prepare and distribute anniversaries and birthdays cards each month

· Assist with coordination of all employee events and celebrations on a monthly basis for Field and Corporate locations – maintain monthly calendar of events

Onboarding & Offboarding

  • Order business cards for Corporate and Field employees
  • Assist sending emails or making phone calls with information about the company, position, work schedules, dress code and parking options (corporate employees)
  • Assist in preparing onboarding kits and paperwork, as well as distributing and collecting forms and required paperwork
  • Assisting in preparing and distributing announcements of new hires, transfers and promotions
  • Gather and process new hire paperwork, including I9, E-Verify, and other forms

Leaves Administration

  • Assist with the review, processing and tracking of company-wide leave requests in accordance to federal and state laws and company policies
  • Provide leave paperwork according to eligibility, requests, and legal requirementsOther

· Reconcile credit card receipts and transactions for HR management team members utilizing company’s software

· Answer calls and emails from employees or customers and communicating via phone or email to resolve inquiries or determine the need for escalated support and care

· Responsible for providing exemplary customer service and interactions

· Must understand the confidential nature of HR data and adhere to all Company policies related to confidentiality and security of personal information when processing all transactions and addressing inquiries

· Support other HR functions as needed

· All other duties as assigned or required

Qualifications Experience & Education

  • 1+ year of experience in an employee service -oriented environment supporting the execution of administrative and clerical tasks.
  • HR experience a plus. Bachelor's degree in HR preferred
  • Proficient with Microsoft Office required
  • Experience with ADP Workforce Now or similar HRIS systems preferred
  • Ability to read English language sufficiently to understand written work orders and instructions is required.Additional Qualifications
