Position: Administration Assistant

Reports to: Project Administration Manager


Methuen Construction is seeking a Administration Assistant to aid the Project Administrator(s) in all processes in support of all Methuen Construction projects. This position will provide essential administrative support to the department.

Essential Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Provide support to Project Administrators, Project Managers, Project Engineers, Project Administration Manager.

Provide consistency in dunning procedure. Utilize all means of communication for follow up as necessary.

Proofread and create correspondence for PM, PE, Superintendent, Estimating and Management as requested.

Management of all document control within company server, project management, FTP site and/or hard copy files.

Utilize project management software to full potential for dunning process, document sharing and communication.

Must be able to understand and adapt to the contractual requirements of each individual project, along with consistent maintenance of Methuen Policies and Procedures.

Stamps, Processes, and Distributes Mail, UPS, FedEX and Facsimiles

Certificate of Insurance entry into Accounting and Project Management System

Full knowledge of electronic and hard copy filing structure.

Project file start up and closing procedure.

Full knowledge of KIP, RICOH and printers for printing, scanning, filing and troubleshooting.

Project reporting for all active projects.

Additional special projects may include scanning, printing, data entry and meeting preparation.

Monitor office supply inventory control.

Assist Administration department in all administrative needs as necessary.

Position Type

This is a full time permanent position.


This position does not require travel.

Education and Experience

3-5 years administrative experience and/or college equivalent
Intermediate experience with entire Microsoft Office Suite.

Work Environment/Physical Demands

Ability to lift a minimum of 10-25 lbs.
Able to sit for extended periods of time.
Able to function in a standard office setting.
