Chief Objective of Position
Under the direction of the Director of Transfer Enrollment Services, this position is responsible for supporting the recruitment, admission, and enrollment of the entering transfer class. In addition, this position coordinates the evaluation of academic transcripts and other credentials; articulates and awards credit, if appropriate; reviews and makes decisions on domicile applications for special populations; acts on applications for reclassification of domicile. This position also maintains responsibility for the request of current students to enroll in courses at other higher education institutions as well as the initial registration of new transfer students. Finally, this position will assist with various other aspects of Transfer Enrollment including, but not limited to, application processing and credential review.
Transfer Admission and Readmission:
Routinely communicates with new transfer applicants and returning student applicants regarding admission requirements and eligibility.
Assists on an as needed basis with recruiting of the new transfer class.
Utilizes the National Student Clearinghouse to identify unreported periods and/or institutions at which the student has been previously enrolled and makes appropriate adjustments to the student’s application.
As part of the Transfer Enrollment team, this individual will also take measures to ensure that the University is compliant with the State Policy on Transfer and operates adhering to all current guaranteed admission or articulation agreements.
Serves as a member of the internal quality assurance team to help ensure data and record integrity associated with these enrollment credentials.
Interviews prospective applicants for transfer admission and assist with reading applications for admission.
Coordination of Domiciliary Issues:
Manages the activities associated with classification of domicile cases for special populations and reclassification of domicile cases for currently enrolled students.
Reviews policies, procedures, and practices to ensure compliance with Section 23-7.4 of the Code of Virginia and with established University policies.
Proposes new procedures, forms, and literature and reviews existing procedures, forms, and literature to improve efficiency and to increase the level of customer satisfaction.
Monitors activities associated with domicile reclassifications to evaluate efficiency and to identify areas in need of modified procedures and makes suggestions for improvement to the Director.
Reviews domicile cases to determine status in accordance with Section 23-7.4 of the Code of Virginia, ensuring that appropriate residency status is awarded and that appropriate University authorities are sufficiently notified.
Attends annual SCHEV/VACRAO training and develops employee-training guide.
Request to Enroll in Courses at Other Higher Education Institutions
Collaborates with and assists the Director of Transfer Enrollment Services in the review of requests of current students to enroll in courses elsewhere.
Utilizes online degree analysis tool to make determinations regarding eligibility to enroll in and receive credit for coursework completed at another higher education institution.
On an as needed basis, collaborates with and assists the Director of Transfer Enrollment Services in determining whether course equivalents exist and applying credits earned elsewhere to the student’s academic record.
In reviewing and approving these student requests, this position must be extremely well versed in curriculum and academic policies as this position will make determinations as to whether the request is compliant with degree/programs requirements as well as academic policies.
Initial Registration of New Transfer Students
Assists with designing the schedules and registering new transfer students based on information gathered via the Admitted Student System and based on information provided by academic department chairs.
Consults with the Director of Transfer Enrollment Services regarding situations with conflicting information or when there is insufficient course availability for new transfer class.
Customer Service and Safety:
Develops and maintains positive and professional customer service and/or relations within the office/department and with all constituencies to include students, faculty, staff, guests, and employees. Demonstrates a positive and professional attitude and treats everyone with dignity and respect. Fully supports the “Student’s First” value at CNU and routinely goes the extra mile in providing service.
Participates in a cross-training initiative so the all staff members possess a general knowledge base of University and office functions to better advise and refer customers.
Safety issues are reviewed and communicated to assure a safe and health workplace and a reduction in work related absence.
Collaboration, Supervision and Leadership:
Serves as representative of the office, providing guidance regarding operational issues, on various division and university groups and committees.
Functions as a contributing member of the office by providing efficient services to students, faculty, staff, alumni, parents, and other constituents.
Cognizant of the rules and regulations of the State Council of Higher Education of Virginia, U.S. Department of Education, and the University.
Recommends and assists in the development of policies and procedures pertaining to enrollment of international students, transfer admission, State Policy on Transfer, Advanced Placement, International Baccalaureate, and transfer equivalency tables.
Assists the Director of Transfer Enrollment Services, the University Registrar, and/or the Vice President of Enrollment and Student Success on various initiatives and projects on an as needed basis.
On an as needed basis, serves as a member of the Transfer Enrollment Appeals Committee reviewing appeals regarding denied transfer admission.
This position is designated as a “responsible employee” who has the authority to redress sexual violence, who has the duty to report incidents of sexual violence or other student misconduct, or who a student could reasonably believe has this authority or duty.

Experience with the Microsoft Office suite (Word, Excel, PowerPoint, Access, and Publisher) or similar product. Knowledge of federal and state polices related to the admission and enrollment of students. Demonstrated skills supporting a strong team spirit, dedication to helping students and a passion for excellence. Demonstrated proficiency using the Banner Student Information System. Demonstrated proficiency using Hobsons, the Common Application, and/or Nolij Web. Ability to understand and represent the interests of Christopher Newport University as well as state and federal laws and regulations, and to balance them against the interests and entitlement of individual students. Knowledge of Family Educational Rights and Privacy Act (Buckley Amendment). Knowledge of relational databases. Good presentation and team-building skills. Demonstrated proficiency with public speaking.
Master’s degree in Higher Education Administration, Student Personnel Services, Business or related area of specialization; or a Bachelor’s degree and related experience that equates to an advanced degree.
Experience working in higher education with detailed classified and confidential information.
Experience working with relational databases and an enterprise information system.
Experience interpreting and applying complex rules and regulations.
Experience working with the Banner Student Records system. Experience in applying the Virginia State Policy on Transfer. Experience working with admissions, registrar, financial aid, and/or education records in a higher education environment. Experience working in the marketing and recruitment field.
