This position is directly responsible for providing administrative support to the Columbia Development Team as well the Office Leasing, Marketing, Accounting and Legal Teams. Additionally, this position will provide administrative and some IT support to the Columbia Office as needed.

Provide administrative support to: VP, Office Leasing; Director, Marketing; Sr. Development Director; Sr. General Counsel; Development Associate
Coordinate and schedule meetings and conference calls, as directed
Manage calendars upon request
Schedule travel and submit monthly expense reports
Track and enter vendor contracts, task orders, purchase orders, etc. in Sales Force
Interact daily with all levels of management in a polite and professional manner
Assist in coordinating events, both internal and external, for marketing, leasing, and development related activities
Provide direct back-up for receptionist which includes greeting guests, sending and receiving US Mail, overnight courier delivery services, ordering supplies, submitting tenant request, and answering and directing calls as necessary
Provide administrative back up to other administrative assistants within the office as needed
Act as “good will ambassador” for all new hires
Contract administration support as needed.
Provide IT support at a moderate level which includes troubleshooting computer hardware, network, and software issues and escalating as needed
Setup and take down of computer (workstation) equipment
Relocate equipment as instructed
Be the “go to” person for all VTC, computer, and cell phone related issues
Act as IT liaison between the Corporate and Columbia offices for system or equipment upgrades
Assist in implementing new software and/or programs rolled out by Corporate IT

At least 3-5 years of administrative experience preferred
Must be proactive and be able to work independently with little or no supervision on a regular basis
Highly organized and multi task/project oriented with the ability to work in high-intensity environments
Knowledge of office equipment with experience in troubleshooting IT issues preferred
Ability to work overtime as needed
Must possess the ability to deal with all levels of management including at the executive level
Proficiency in Microsoft Word, Excel, PowerPoint, Outlook required
Knowledge of Salesforce, e-Builder, Bluebeam and/or Adobe Pro are a plus
Excellent business writing and verbal communication skills are a must

High school graduate with at least a 2-year college degree
IT related courses extremely helpful
