Join our active, collaborative 10-person office team as the Executive Administrative Assistant to our project manager for carpentry service.

$23-$28 per hour DOE. Full benefits.

Executive Administrative Assistant Expectations:

  • Schedule crucial appointments for projects, such as materials delivery, subcontractors, and in-house crews
  • Ensure the financial integrity of the business and help us improve our bottom line by tracking purchase orders and auditing customer budgets and billings
  • Enable the project manager to be as productive as possible by taking on all administrative duties
  • Be resourceful and proactive in dealing with issues that may arise

Executive Administrative Assistant Major Responsibilities:

  • Crew dispatch and job coordination
  • Job schedule management
  • Keeping customers informed about the status of their job on a regular basis
  • Day-to-day phone support
  • Administrative support for project managers with tasks including contract documentation, job packet creation and maintenance, etc.
  • Managing materials ordering and logistics

Executive Administrative Assistant Skills & Experience:

  • Understands that working independently and teamwork go hand-in-hand
  • Able to represent yourself professionally with your teammates and our customers
  • Is decisive. Appreciates the opportunity to make decisions that affect both themselves and others.
  • Has a natural curiosity and enjoys digging into and solving problems
  • Thinks fast and enjoys being active
  • Customer service scheduling/dispatching/logistics
  • Microsoft Excel: creating formulas, improving templates, formatting spreadsheets
  • 3 years of administrative support
  • Microsoft Office
  • Associate’s degree or higher preferred
