Job Title: Phone Scheduler/Receptionist

Department: Clerical

Reports To: Front Desk Coordinator

General Purpose of Job: To answer calls courteously, schedule patient appointments, and transfer calls properly to the staff.

Essential Duties and Responsibilities: Include the following (other duties may be assigned): Telephone: Courteously, efficiently, and effectively answer a multi-line phone system by greeting the caller and asking them to hold if necessary.Listen to the needs of the caller and determine who can help the caller in the best manner.Schedule appointments.Speak with staff member to accept the phone call.Transfer the phone calls effectively.Maintain the voice mail list and system.Maintain a list of activities the phone company needs to perform on their next visit.Learn the capabilities of the phone system and recommend possible changes.When an emergency arises, contact the appropriate doctor with a sense of urgency.

Receptionist Duties will include working a late night in rotation with the front desk reception area. It will also include a Saturday rotation.

Late night and Saturday receptionist duties:

  • Fill paper in copier and fax machine
  • Straighten the main reception area, including magazines
  • Turn all blinds down
  • Turn all television sets off
  • Turn copier off
  • Log all mail payments (patient and insurance) and lock in file cabinet (5:00)
  • Turn phone system over to answering service (see instructions) (5:30)
  • Make sure all patients have been checked out
  • Turn off front desk lights and reception area lights
  • Turn night button on

** Language Skills: Ability to read and interpret fee tickets, appointment schedules, instructions, etc. Ability to effectively speak to patients and respond to their questions.

Mathematical Skills: Ability to add, subtract, multiply and divide whole numbers. Ability to compute charge totals and patient responsibility amounts. Ability to count money.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions. Ability to interpret patient fee tickets.

Physical Demands: Ability to sit or stand for long periods of time. Ability to walk patients to physician workstations, mammography and ultrasound department, etc. Ability to carry charts. Work Environment: Moderate noise (copier, printers, telephones, multiple conversations) Additional Information: Courteous manner and pleasant personality is required.

Education and/or Experience: High School Diploma or GED/On-the-job training
