We are looking for a new team member to be the National Carpet Depot Coordinator oversees all administrative and reporting functions of the Nationa Carpetl Depot to include: all show invoicing, reporting of the depot Journal Entries to Corporate, city payroll functions, city statistics, depot scorecards, and depot quality reports.

Responsibilities
Create and maintain control and production files for the national operation per the National Depot internal procedures.
Check all outbound manifests for locally produced events against current planning information to ensure accuracy of shipments.
Update shipping and return calendars in online planning application as well as inbound/outbound boards for all locally produced events.
Act as purchaser in Oracle system for all supplies ordered by National Depot including a log of all vendors and transactions.
Create and distribute all National Depot invoicing for the east coast operation.
Maintain all depot administrative reports including depot scorecard, quality scorecards, and city usage and planning reports.
Act as “gatekeeper” for plans received by the depot utilizing the online system. This will entail checking the accuracy of all information received and rejecting incomplete planners. Adding up orders.
Work with sales and accounting teams to handle all depot invoice disputes.
Reconcile timesheets in Kronos payroll system to include, but not limited to, verify account distribution, add, delete and/or edit punches, maintain schedule, daily reporting of hours and fund accrual, and approve in absence of manager.
Create daily production sheets in order to tally Carpet Depot total footage processed.
Monthly warehouse inspections.
Maintain “Dirty Rack” inventory spreadsheet by adding/deleting/editing racks populated sheet.
Create “Show Close Summaries” spreadsheet when a show is completed by entering cleaning sheet data.
Safety coordinator within depot. Maintain safety hours and reports at bi-weekly safety meetings.
Miscellaneous duties such as creating labels, restocking supplies, recycling old folders, organizing historical files, helping employees with administrative tasks, and other duties assigned by manager.
Qualifications
High School Diploma or equivalent required.
Two (2) or more years in an administrative capacity required.
Strong oral, written, and interpersonal communication skills.
Expertise in Excel and Word computer programs.
Strong organizational skills.
Ability to influence others without formal authority.
Bilingual (English and Spanish) a plus.
Work Environment
Ability to sit for extended periods of time in an office chair at a desk utilizing office equipment.
While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone, use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms.
