What You'll Do
Cisco seeks an Executive Administrative professional to provide (i) dedicated support to the Vice President and Deputy General Counsel, Legal Services located in RTP and (ii) general support to the Legal team based in RTP.
Calendar Management: Managing VP's calendar and daily schedule to include prioritizing conflicting meeting requests, tracking action items and commitments of principal and following-up to ensure completion. This will require exceptional organization skills, juggling multiple priorities and keeping a busy principal on track and on schedule.
Meeting Planning and organizations: Assisting principal in planning and organizing meetings by taking responsibility for assembling the agenda, location, accommodating technology requirements based on participant needs, and all other meeting logistics. May further prepare meeting briefing documents by creating a meeting “face book”, taking and disseminating notes and formulating post meeting action item list.
Travel Briefing Preparation: Creating travel packs for international trips. This work includes combining all event information in addition to coordinated logistics of travel and also customer/team asks
IT & Technology Issues: drive resolution of any technical problems encountered by Principal.
Correspondence/Approvals: Supporting principal by acting as a proxy for communications and approvals as authorized. Answering general questions as necessary, referring (filtering) routine matters to appropriate parties, and following up to ensure proper disposition. Taking initiative to resolve problems within specified policies and guidelines, and providing mentorship to administrative community members on problem-solving. Determining when executive action is required and supplying a recommendation where appropriate.
Travel and Expense Management: Responsible for making in-depth global travel arrangements for principal and managing Cisco expenses.
Ad hoc support as needed to the Principal’s direct reports, a handful of local Legal Directors (whether or not they report up to the Principal), as well as assisting and providing back-up support for other administrators in the Legal Dept and their Principals.
Special Projects: Providing support to assist principal on special projects.
Confidentiality: Candidate will deal professionally with highly sensitive and confidential matters and materials.
Mentor new Executive Administrative Assistants and other administrators. Participates in a cross-functional EA network.

The Principal (hiring manager) for this EA role reports to Mark Chandler.

This position requires strong interpersonal skills, independent judgment, utmost professionalism and ability to balance both strategic and tactical actions. You, along with the Principal, are the glue for the entire legal team here in RTP. They will look to you to provide direction and to solve problems for the overall team.
Our minimum requirements for this role:
EA or equivalent experience; 8+ years’ experience in an administrative environment. A minimum of 4 years working at the Executive level.
Preferred: BA/BS or equivalent experience; past work experience in the high-tech industry.
Expert level knowledge of Windows desktop computer applications: Word, Excel, and especially PowerPoint.
Experience in planning meetings and coordinating travel.
Ability to navigate web and email at high competency knowledge.
Ability to multi-task.
Excellent verbal and written communication skills including the ability to communicate with all levels of Executive/Senior staff and clients.
Generally, receives no instruction on routine tasks and minimal instruction on new projects.
Works in an organized and disciplined manner. Detail oriented. Doesn’t drop balls.
Advanced desktop calendar management program experience.
Some knowledge of legal contracting processes would be a plus.
