Duties
Summary

This position is located within the Geriatrics and Extended Care (GEC) Service of the VA Tennessee Valley Healthcare System (TVHS).

This position includes a broad range of clerical and administrative responsibilities. It's primary purpose is to provide administrative and clerical support to a multi-disciplinary team in support of the mission of Tennessee Valley Healthcare System.

Responsibilities
The Program Support Assistant provides direct management assistance to the Administrative Officer and Service Chief of the GEC service. The incumbent's support function directly impacts the GEC management team's quality of internal and external communications that includes the clerical and administrative support to the professional staff and the efficient operation of the GEC administrative operations.

Produces a variety of correspondence from hand-written draft including letters and reports at or above established expectations of Section Chief or designee.
Edits correspondence for accuracy and completeness using correct spelling and grammar along with proper documentation formats.
Receives & distributes directives, mail, email, & other communications.
Coordinates with Human Resources for new appointments, terminations, resignations, and transfers utilizing computer records along with required documentation to support each request.
Serves as designated timekeeper for all service staff who is responsible for the posting and submission of all employees' time and attendance.
Receives, screens and directs VA patients, staff, and visitors phone calls in a courteous and respectful manner.
Aids the TMS Coordinator in maintaining education information for staff by sending reminders and tracking completion of requirements.
Serves as a liaison to coordinate meetings and conferences from developing agendas to provide briefing materials to attendees.
Serves as the Recorder and prepares the minutes for various committees
Assists in the creation of employee performance appraisals, tracks and ensures all employees have current licenses or certifications required for Credentialing and Privileging.
Verifies, annually or as needed, that all equipment is reconciled with the Equipment Inventory Listing.
Other duties and tasks as assigned by Management at times of need

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/26/2019.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-05, in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:knowledge of administrative terminology, skill and knowledge of various software and applications, skill analyzing problems to formulate a potential resolution, ability to exercise initiative and independent judgment, and conforming to policies. OR,
Education: As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
