Mastery Charter Schools is seeking a highly qualified individual to serve as an administrative support to the CEO. This position requires discretion, initiative and sound judgment as well as quality technical knowledge, the ability to provide a wide variety of executive secretarial duties, and skills to coordinate a high volume of administrative detail.
May handle a wide variety of situations and conflicts involving the clerical and administrative function of the office. Responsible for confidential and time sensitive material. Prepares routine and advanced correspondence including letters, memoranda, and reports. Familiar with a variety of the field's concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals. Consistent ethical behavior and the ability to maintain strict confidentiality when required are essential.
The assistant will supervise the daily operations of the Network Support Team (NST), from answering phones, scheduling, sorting mail, filing, faxing, creating and maintaining databases and any general administrative duties as needed. The Executive Assistant also serves as a liaison to the board of directors and senior management teams. The executive assist and should ultimately be able to identify and address the needs of senior managers and perform administrative tasks to ensure our company’s workflow runs smoothly.
Duties and Responsibilities:
Attends to administrative details not requiring the immediate attention of the CEO, if it requires immediate attention, work closely with CEO to address the details immediately.
Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Monitors and coordinates budgets and approves expenditures as directed
Maintain confidentiality of privileged and sensitive information
Establishes and maintains files as necessary
Gathers information and summarizes data pertinent to a variety of administrative and operational areas
Responsible for the organization, coordination and distribution of agendas for Board meetings
Completion and management of special projects for the CEO
Management of invoices, credit card payments and reimbursements for CEO
Manage travel for CEO
Plan and execute logistics for big Mastery events like Gates Institute, All Mastery Day, etc.
Manage and maintain our Digital Library and hard copy library of organizational files
Create and maintain databases
Supervise and manage the Office Manager and all special projects
Any and all duties as assigned
Ability to relate to a diverse population of people a must
Advanced proficiency in technology, including Microsoft Office: Outlook, Word, Excel and PowerPoint, and the ability to learn new programs/software quickly
Proven experience multi-tasking, organizing and prioritizing work
Ability to handle requests and inquires and respond within a timely manner
Performs duties with a high degree of professionalism
Managing multiple schedules
Education and Experience:
Three to five years administrative assistant experience is preferred
organizational and planning skills, communication skills, information gathering and information monitoring skills, problem analysis and problem solving skills, judgment and decision-making ability, initiative, confidentiality, attention to detail and accuracy, flexibility
Ability to physically perform the duties required and to work in the environmental conditions required such as maneuvering in an office space-reaching file cabinets, filing, faxing, scanning, coping, typing, mailing, and making phone calls; Must be able to sit for up to two (4) hours looking at a computer monitor, using a keyboard and mouse and typing; Must be able to lift up to 20 lbs.
