We are seeking an Executive Assistant to the CEO and President for Wells Fargo. This position will be located in New York City at 500 W 33rd Street. This position will perform diverse, advanced and confidential, daily executive office administration. As a result, this Executive Assistant will/may interface extensively on a daily basis with the Board of Directors, Operating Committee members and other members of the Management Committee and other administrative professionals and team members across Wells Fargo. This individual would also represent the CEO and President’s office with a variety of external stakeholders including but not limited to Wells Fargo customers, shareholders, investors, local and national community leaders, representatives of regulatory agencies, media representatives and other executives and directors.
The Executive Assistant will provide a high level of professional support which includes a balance of senior executive level administrative including calendar management, travel coordination, expenses management as well as ongoing ad hoc and project/business initiative support, such as planning meetings, tracking deliverables and running reports.
Other duties include: managing correspondence and follow ups with the executive from customers, vendors and senior management and/or selectively referring callers; handling the most sensitive customer and employee issues; compose the most complex and/or confidential correspondence. Acts as an information source on group and company policies.
Key responsibilities will include, but not be limited to, the following:
Coordinates the day-to-day and long-range activities and operation of the President’s office by effectively managing the internal and external impact to the office
Manage all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed and preparing expense report submissions
Manage a complex and dynamic calendar for both personal and professional agendas
Screen phone calls, emails, mail and visitors; route and resolve information requests
Draft complex and/or confidential correspondence
Edit documents and presentations as needed and maintaining organization charts
Handle confidential company materials with sensitivity and discretion
Establish and implement office procedures and controls
Coordinate facilities support, floor administration, space planning
Ensure adequate administrative back-up coverage for the office at all times
Partner with other administrative professionals to ensure seamless handoff and coordination of duties/tasks/responsibilities in the other’s absence
8+ years of administrative support experience
Strong attention to detail and accuracy skills
Excellent verbal, written, and interpersonal communication skills
Advanced Microsoft Office (Word, Excel, Outlook and PowerPoint) skills
Experience writing and editing internal communications, including corporate and executive level communications
Other Desired Qualifications
4+ years of executive administrative level support
Experience managing complex and dynamic calendars
Ability to work independently to analyze and solve problems
Adaptability in a fast-paced environment with competing and changing priorities
Demonstrated ability to prioritize multiple tasks in order to successfully meet deadlines
Experience using systems/tools for tracking expenses, scheduling travel, monitoring time, etc.
Utilizing deep knowledge (i.e. Subject Matter Expert) of corporate policies, procedures, and guidelines
Track record of superior partnership skills and a collaborative approach; ability to interact with all levels of the organization
Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
Ability to maintain absolute confidentiality and discretion, and inspire trust by behaving in a way that suggests personal discretion and integrity
Ability to work additional hours as needed
