The Sponsorship Coordinator supports the advancement of the Delaware State Fair by identifying and executing new revenue opportunities through sponsorships and expanding sponsor relations in line with Fair’s policy and procedures.

SUMMARY

The Sponsorship Coordinator provides administrative support to the Director of Marketing and staff of the Marketing Department. Performs assignments of an organizational and administrative nature, maintains various databases and assumes performance of tasks in support of business operation. Duties also include general research, clerical, and project based work. The Sponsorship Coordinator projects a professional company image through in-person and phone interaction.

Essential Duties and Responsibilities: Include the following. Other duties may be assigned.

  • Facilitate all fair sponsorship programs
  • Develop a complete, comprehensive targeted list of companies/organizations to identify client challenges and translate them into opportunities to sell
  • Serve as a liaison between fair departments to ensure complete contractual fulfillment (marketing, operations, ticketing, etc.).

  • Oversee coordination and execution of on-site operational elements including, but not limited to, product sampling, signage, program advertising, video loop inclusion, VIP hospitality, etc.

  • Research new marketing opportunities
  • Map out potential customers & competitors
  • Identify and solidify new opportunities for sponsorships, namings and partnerships
  • Provide status reports to showing overall sponsorship sales and marketing activities
  • Create and modify documents using Microsoft Office, Excel, Access, PowerPoint and Publisher.
  • Maintain sponsorship and naming levels/package list to ensure competitive, relevant pricing that maximizes sponsor potential
  • Perform general clerical duties to include but not limited to: photocopying, scanning, faxing, mailing (including e-mailing), and filing (paper and electronic).
  • Maintain digital files of contracts, correspondence and photographs.
  • Prepare sponsor proofs of performance as required.
  • Support staff in assigned project based work, including but not limited to:
  • Develop procedures for contacting and qualifying leads.
  • Develop procedures for competitive research and analysis.
  • Correspondence to prospects and clients and prospects.
  • Assist in the development of marketing pieces for print, internet, television and radio.
  • Develop procedures for marketing including asset identification.
  • Preparation of sponsorship proposals from information gathered in fact finder.
  • On a periodic basis, attend evening meetings of Board of Directors and designated committees
  • Coordinates and arranges meetings for committees and management.

Education: Degree in Marketing, Business, or Administrative Support or commensurate work experience in the area of marketing or administrative services including the development and implementation of marketing programs and materials.

Experience: At least two years in marketing, business, or administrative assistant role within professional services environment. Strong leadership and consensus building skills; marketing management and strategic planning experience; a proven track record in developing and administering a marketing and business program.

Required Skills: Must be a self-starter, highly organized, and able to work well with executive team at all levels in the organization. Must possess good presentation and interpersonal skills. Needs working knowledge of Microsoft Office Suite and Windows-based graphic and digital imaging computer applications. Must be willing to work irregular hours and weekends especially in preparation for and after Fair.
