We are seeking a highly organized and efficient administrative assistant to join our Property Management Office team. As a administrative assistant, you will play a crucial role in assisting residents with work orders, repairs, and providing exceptional customer service. You will be responsible for ensuring a smooth workflow within the office and maintaining effective communication channels with residents and maintenance staff.
Responsibilities:
- Greet residents and visitors in a warm and professional manner, providing excellent customer service.
- Answer phone calls and respond to emails promptly, addressing residents' inquiries, concerns, and work orders.
- Schedule appointments and maintain the office calendar to ensure efficient coordination of repairs and maintenance tasks.
- Create and maintain accurate records of work orders, repair requests, and maintenance activities using property management software.
- Coordinate with maintenance staff to schedule repairs and maintenance tasks, ensuring timely completion.
- Follow up with residents to ensure their satisfaction with completed work orders and repairs.
- Handle confidential resident information with integrity and maintain strict confidentiality.
- Maintain an organized filing system for work orders, resident records, and office documents.
- Assist in the preparation and distribution of notices, memos, and newsletters to residents.
- Collaborate with the property management team to plan and execute community events.
Requirements:
- High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
- Proven experience as a Secretary or Administrative Assistant, preferably in a property management or real estate setting.
- Exceptional customer service skills with a friendly and professional demeanor.
- Strong communication skills, both verbal and written.
- Excellent organizational and time management abilities, with an attention to detail.
- Proficient in using office software, including word processing, spreadsheets, and email applications.
- Familiarity with property management software is a plus.
- Ability to handle multiple tasks simultaneously and prioritize work effectively.
- Demonstrated ability to work well in a team environment and maintain a positive attitude.
