The Leaves Program Specialist works in the Employee Service Center as part of a dedicated team of HR professionals, serving over 30,000 Cox Automotive employees in the United States. Responsibilities include the oversight, interpretation, and account management of all types of leave regulations and company leave policies across all Cox Automotive business units. The incumbent serves as a subject matter expert in all areas of leave compliance and regulations as well as building strong partnerships and working closely with all levels of management, HR Business Partners, Legal and other internal teams with a goal of driving a consistent, equitable, and positive experience for our team members in line with our company values. As a Leaves Program Specialist, you will be responsible for providing guidance, support, and recommendations on various levels regarding leave of absence matters.
Serve as a leave administration and clinical expert, providing guidance on team member leave requests and conducting inquiries, demonstrating effective listening, probing, and analytical skills with the ability to clearly and objectively make decisions in a timely manner.
Educates members of the Leave of Absence department regarding documentation guidelines
Reviews medical documentation for compliance including completeness and accuracy for several leave or accommodation types such as (FMLA, ADAAA or WC).
Completes accurate and timely record review to ensure the integrity of documentation compliance.
Completes well-timed follow-up case reviews on all concurrent cases with priority given for resolution of those with clinical documentation clarifications
Partner directly with the Leaves of Absence team, Team Member Relations team, HR Business Partners, and Legal on recommendations to resolve inquiries, concerns, and inquiries in line with company values.
Evaluates and researches while using discretionary and independent judgment to make decisions on leave or accommodation related matters including but not limited to; approvals, denials, requests for additional information, recommendations to HR Business Partners.
Responsible for identifying possible trends within the work flow and administration process.
Supports escalated calls and service request from the Leave Administrators or other departments and strives to provide a final resolution within targeted service level agreements (SLA).
Maintains effective leave tracking and reporting systems through review of work flow processes to ensure efficiency, accuracy, and quality.
May administers our company sponsored Short-term disability program and is the liaison between the customer and Aetna Disability department for our Long-term disability program according to plan guidelines and established company practices.
Act as a champion for leave administration, helping to interpret company leave policies and processes, ensure consistent application, alignment with company priorities, and educate team members and other stakeholders as needed regarding FMLA, Military, State mandated leaves, Workers Compensation, Medical and company Personal Leaves of Absence.
Partners with Leave Administration Management team and in-house legal counsel for guidance on complex items such as the interactive process and ADA accommodation.
Remains current on related local, state, and federal law changes as they relate to leave management.
Responsible for securing, safeguarding and keeping confidential employee information as required by our, “Personally Identifiable Information Security Policy” and all other data privacy requirements.
Position supports 4-time zones. Must adhere to scheduled phone time during shift and remain flexible to support unanticipated events that drive volume. Flexibility is required to support peak volume events throughout the year.
Performs other duties as assigned by management.
Bachelor’s degree or equivalent. In lieu of a degree, education and work experience will be considered. (BSN, MSN preferred)
Minimum 4 years of experience within the case management and/or medical review environment for a medium to large workforce. Multi-state leaves processing strongly preferred. Knowledge of clinical documentation requirements that identify clinical conditions or procedures to support documentation review process strongly preferred
Strong verbal, written, and interpersonal skills required. Effective customer service, time management and organizational skills necessary. Commitment to quality and collaboration in a team-based environment. Thorough knowledge of common leave management terminology required. Proficiency in PeopleSoft or similar HRIS system and Microsoft Office 2010, including strong MS Excel skills are essential.
(Degrees, Certifications, Languages):
Current active State license as a Registered Nurse, Nurse Practitioner, Physician's Assistant or Certified Clinical Documentation Specialist (issued by the Association for Clinical Documentation Improvement Specialists (ACDIS) desirable.
PHR, SPHR, SHRM-CP, SHRM-SCP desirable.
