We are the world leader in high shear mixing equipment located in East Longmeadow, MA. We are looking for a motivated, reliable Receptionist / Office & Sales Support to provide exemplary, personalized secretarial and administrative support in a well-organized and timely manner.
You will work on a one-to-one basis on a variety of tasks related to executive’s working life and communication as well as support the daily operations of the office & sales team. This position requires strong attention to detail, great team and interpersonal skills, and the ability to multitask. Responsibilities
- Professional answer, screen, and forward incoming phone calls
- Greet customers and vendors, direct to the appropriate person and office
- Arrange beverage and/or lunch for customer and visitors.
- Ensure reception & conference area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Ensure conference room & executive offices are fully stocked with essential items.
- Filing, photocopying, and maintain paper & electronic filing system for our customer and vendor files.
- Daily runs to post office for mail. Receive, sort, and distribute daily mail/deliveries
- Order, receive, and maintain office, building and lunch room supplies, and keep inventory of stock to ensure quantities are optimal levels at all times.
- Update calendars and schedule meetings.
- Arrange travel and accommodations for trade shows and executives.
- Ensure booking of trade shows, and requirements.
- Manage show leads or various updates in our sales database as needed
- Provide clerical support to various departments.
- Maintain and operate the security and telecommunications system.
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
- Filing of Customer files and documents.
- Filing of Accounts Payable for Accountant.
- Prepare sales quotations on behalf sales department.
- Remit copies of order acknowledgements & invoices to our customers with tracking details.
Requirements and skills
- Proven work experience as a Receptionist, Office Support or similar role
- Proficiency in Microsoft Office Word, Excel and Outlook is a must
- Hands-on experience with office equipment (e.g. phones, scanners, and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills, tidiness, and high attention to details is a must
- Multitasking and time-management skills, with the ability to prioritize tasks.
Job Type: Full-time
Pay: $17.00 - $23.00 per hour
Expected hours: 40 per week
