Provide administration and support for Cooperative Energy's enterprise information management program by evaluating, recommending, designing, implementing, updating, and maintaining enterprise information and related systems.
Essential Job Functions
Participates in needs assessments, initially and continuously, to identify document management requirements of departments or end users.
Leads in the assessment, acquisition and deployment of new electronic document management systems.
Analyze department information processes. This includes every aspect of the information lifecycle (creation, classification, cataloging, storing, maintaining records, privacy, protection and disposition).
Analyze business and processes to identify and improve indexing approaches, search strategies, identify data sources and work closely with technical staff on system integration efforts.
Communicate best practices to all staff and assists in one-on-one and group training.
Plan and conduct meetings and presentations related to document management.
Administer system access rights and revision control to ensure security of system and integrity of documents.
Assist in determining document management policies to facilitate efficient, contractual electronic content while ensuring continuous access.
Develop or configure document management system features, such as user interfaces, access profiles and document workflow procedures
Implement scanning or other automated data entry procedures using imaging devices and document imaging software.
Assists with and ensures security surveillance over document processing, scanning, distribution, storage or archiving.
Works closely with project team to develop, maintain and validate all project processes required to conform to organizational requirements.
Monitor regulatory activity to maintain compliance with records and document management laws.
Prepare support documentation and training materials for end users of document management systems.
Document technical functions, setup and specifications for new or proposed document management systems.
Recommend new technology/processes/improvement to enhance document management systems.
Develop and utilize information management metrics, dashboards, audits, surveys and other reports to identify opportunities for improvement and possible issues related to document management systems.
Develops and trains on the retrieval, use, and authorized disposition for eligible inactive records.
Assists with legal hold requirement definition and releases.
Works closely with vendors/consultants on system updates and other areas of system enhancements and implementation.
Assisting in special projects and objectives such as Disaster Recovery Planning for corporate records and information, records management audits, and file management/clean up events.
Associate's Degree Business Administration Or
Associate's Degree Health Information Management Or
Associate's Degree Information Technology Or
Associate's Degree Library Science Or
Associate's Degree Management Information Systems Required
2 years Document Management Systems Experience in lieu of education requirements
2 years Document Management Systems Experience Required
Experience leading the implementation of a document management system in a corporate environment. Preferred
Certifications and Licensures:
Document Management Certified Professional Preferred
Knowledge, Skills, & Abilities Required:
Knowledge in regulatory requirements/research and in retention scheduling principles/practices.
Strong communications skills and strong attention to detail.
Strong problem solving and troubleshooting skills.
Ability to work independently and complete assigned tasks with minimal supervision as well as within a team environment.
Must be able to train in a group and/or one-on-one setting.
Must be self-motivated with a proactive approach to working with diverse teams.
Proficient knowledge of Microsoft Office Suite and SharePoint.
