Position Overview: The HR Associate / Operations Assistant will play a crucial role in supporting the HR department, managing payroll, and overseeing accounts receivable and payable. This multifaceted role involves assisting with various HR functions, ensuring smooth financial operations, and enhancing overall operational efficiency.
Key Responsibilities:
Human Resources:
- Assist in the recruitment process, including job postings, screening resumes, scheduling interviews, and coordinating with candidates.
- Support onboarding and offboarding processes, ensuring a seamless experience for new hires and departing employees.
- Maintain and update employee records in the HRIS system.
- Assist with benefits administration, including enrollment, changes, and communication with benefits providers.
- Coordinate and support employee training and development programs.
- Handle employee inquiries and provide support on HR-related matters.
- Help with compliance and reporting related to HR policies and procedures.
Payroll:
- Process payroll on a regular schedule, ensuring accuracy and timeliness.
- Maintain payroll records, including timekeeping, deductions, and benefits.
- Resolve payroll discrepancies and answer employee payroll-related questions.
- Ensure compliance with federal, state, and local payroll regulations.
Accounts Receivable and Payable:
- Manage accounts receivable, including invoicing clients, tracking payments, and following up on overdue accounts.
- Handle accounts payable, including processing vendor invoices, managing payment schedules, and reconciling statements.
- Ensure accurate and timely recording of financial transactions.
- Assist with financial reporting and monthly reconciliation processes.
Operations:
- Provide administrative support to ensure smooth office operations, including managing supplies, equipment, and facilities.
- Assist with scheduling and organizing company events and meetings.
- Coordinate with vendors and service providers as needed.
- Maintain and update operational documentation and procedures.
- Support the implementation and management of operational projects and initiatives.
Qualifications:
- Strong understanding of HR principles, payroll processing, and financial practices.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Google Drive, Google Sheets) and experience with HRIS and accounting software.
- Excellent organizational and multitasking skills, with a keen eye for detail.
- Strong communication and interpersonal skills, with the ability to build positive relationships across the organization.
- Ability to handle sensitive information with confidentiality and discretion.
- A proactive and adaptable approach with a strong problem-solving mindset.
- Bi-lingual is a plus.
