The Administrative Assistant (part-time position; without benefits) will report to the Executive Administrator & Director of Community Affairs.
This person will perform certain administrative support tasks that are confidential and sensitive in nature. A high degree of discretion and professionalism must be displayed at all times.
PRIMARY ROLE & RESPONSIBILITIES
Makes domestic and international travel and accommodation arrangements.
Prepares travel itineraries.
Renews passport and submits Visa requirements as needed.
Responsible for reconciling monthly credit care and cash expense reports for members of the Senior Leadership Team
Event Planning/Community Affairs
Assists with coordination and execution of onsite/offsite events.
Maintains inventory of event-related products and supplies.
Organizes, processes requests, and maintains database of Corporate Gifts, Sponsorships, Donations, and events.
Produces and distributes correspondence, scanned documents and printed materials as needed.
Serves as a backup in managing calendars and outlook contacts for members of the Senior Leadership Team as assigned.
Provides correspondence and logistical support to the members of the members of the Senior Leadership Team as assigned.
Prepares and circulates weekly Senior Leadership Team Meeting Notes.
Prepares quarterly Staff Meeting PowerPoint presentation deck.
Responsible for running errands, coordinating luncheons and meeting setups as needed.
Fulfills other administrative responsibilities as applicable.
One to three years previous administrative experience required.
Previous experience in a corporate office environment preferred.
Executive support level experience is highly desirable.
Ability to work independently with minimal supervision.
Excellent verbal and written communication skills.
Must have exceptional attention to detail.
Exceptional prioritization, organization, planning, and multi-tasking skills.
Must possess analytical skills.
Highly proficient in MS Office Suite (Word, Excel, Power Point and Outlook) .
Must have excellent command of the English language, oral and written.
Must be able to handle confidential information on a daily basis.
