The Part Time Office Administrative Assistant will assist with the administration of the daily office operations, to include standard receptionist duties, access control, word processing, scheduling, conference/event/appointment coordination, office supply maintenance, and equipment maintenance. The Office Administrative Assistant's standard hours will be 7am to 4pm, two days per week. There may be occasions to extend working hours.
Specific responsibilities include:
Access control to include management of badges.
Conference room, meeting, and event support. Management of facility calendars and conference lines.
Answer corporate telephone and transfer or respond to calls as necessary.
Manage internal and external mailing and shipping.
Monitor, organize, and re-stock office supplies.
Respond to equipment maintenance.
Provide word processing, data entry, and miscellaneous graphic support (limited).
Will need to frequently move about inside and outside the office, to accommodate a fast-paced and multi-tasking environment, in order to provide visitor access from the building's lobby reception area and to collect and distribute mail.
Qualifications & Clearance Requirements
Education, Work Experience, Skills, and Clearance Requirements:
High school diploma or equivalent.
Minimum one (1) year of experience in an administrative role or commensurate experience.
Strong punctuality, attendance, and accountability traits.
Outstanding attention to detail and organizational skills.
Exceptional interpersonal (customer service) and follow-up skills.
Excellent verbal and written communication skills.
Ability to establish priorities, work independently, multi-task, and proceed with objectives.
Strong work ethic.
Proficient with Microsoft Word, Excel, Outlook, and PowerPoint.
Able to physically lift 25 lbs. to transport and store office supplies and paper products.
Ability to work in a fast-paced and multi-tasking environment.
Able to obtain a Secret security clearance or Interim Secret clearance, issued by DSS, within 60 days of the hire date and maintain the clearance for the duration of employment in this position.
