Full Job Description
This position will support the entire facility rental process at Brookview while providing top level hospitality and customer service. This position is a 30 hour per week position.
Essential Duties and Responsibilities: Reasonable accommodations may be made to enable individuals to perform these essential functions:
Process facility rental reservations in-person, over the phone and via email requests, including scheduling and providing tours, filing and updating reservations in RecTrac software, creating and distributing room plans to key staff, and tracking invoices and payments.
Resolve customer concerns, including assessing complaints and recommending solutions and restitution within City policies.
Work with Recreation and Facilities Supervisor to create specialized distribution mailings for promotions and assist with updating marketing materials as needed.
Support cash-handling procedures, including developing, maintaining, and sharing reports with Recreation and Facilities Supervisor including supplies, equipment, and other provisions charged to facility users.
Provide day-of event support, including preparing documents/signs for building staff use, conducting check-in, and delivering ongoing customer service and support.
Assist with event follow-up, including distributing customer feedback surveys and making recommendations for future purchases and facility/event improvements.

This position does not have employee supervisory responsibilities. Staff will supervise participants to ensure safety, and enforcement of rules/regulations.
Minimum and Desired Qualifications: Minimum Qualifications
High School Diploma, GED, or equivalent.
Previous facility or banquet coordination, customer service, event planning, hospitality, or recreational programming experience.
Knowledge of/experience with Microsoft Office products.
Knowledge of/experience with facility scheduling software.
Ability to complete the essential duties and responsibilities of the position with or without reasonable accommodations.
Bachelor's Degree in Event Management, Hospitality, Parks and Recreation, or related field.
Experience working with RecTrac software.
Experience with Publisher.
Experience with basic audio visual and P.A. equipment for rental spaces.
Experience coordinating and scheduling staff.
Valid driver's license and good driving record.
Work Environment and Physical Demands: Expected Hours of Work
This position is 30 hours a week. Hours are typically Tuesday-Saturday from 10 am to 5:30 pm. In addition to working office hours, staff may be required to work additional events. Hours may include, nights, weekends, and holidays.

Work is conducted primarily indoors. Though employees in this role may be subject to both inside and outside environmental conditions. Employees are subject to noise during events and activities, but generally free from work hazards.

Regularly read and interpret documents and other written material.
Regularly communicate and exchange information with others in person, over the telephone, and using written communication methods.
Frequently remain in a stationary position and regularly move within the building, around Brookview and patio/decks to attend meetings and access files and office machinery.
Occasionally traverse around the City to meetings or events.
Regularly operate computers and other office equipment, such as a copy machine, printer, and telephone, as well as equipment/tools consistently found in banquet services and restaurant operations.
Occasionally move or transport items weighing up to 25 pounds.
