The Office Administrator is responsible for the efficient functioning of the office through a range of administrative, financial and managerial tasks. This position supports company operations by maintaining office systems, communicating with all departments, receiving/directing guests, managing supplies, and providing assistance to the workplace as necessary.

Monitor and maintain office supplies inventory.
Organize, schedule and maintain meeting rooms.
Ensure office financial objectives are met in a timely fashion by preparing annual budget, planning expenditures and carrying out necessary corrections that may arise.
Manage office services by ensuring office operations and procedures are organized, filing systems are maintained and supply requisitions are reviewed and approved.
Develop and implement office policies by setting up procedures and standards to guide the operation of the office.
Develop standards and promote activities that enhance operational procedures.
Establish and monitor procedures for record keeping.
Manage relationships with vendors and service providers.
Point person for maintenance, mailing, shipping, supplies and equipment.
Partner with HR to maintain office policies as necessary.
Coordinate with IT department on all office equipment.
Acquire knowledge and understanding of basic functions and workflow of each department within the company to provide better service to internal and external customers.
Maintain professional and courteous attitude under stress of work demands.
Actively participate in the planning and execution of company events.
Allocates and directs resources to enable successful task completion for the Receptionist role.
Provide creative solutions for improving service and professionalism of Receptionist function.
Provide general support to visitors.
Maintain a safe and secure working environment.
Manage distribution processes for various departments within the Support Center.
Uses independent judgment to resolve matters relating to office services.
Provides backup front desk duties when Receptionist is unavailable.
3-5 years administrative experience
Proficient in Microsoft Office, including Outlook, Excel, Word and PowerPoint; desktop publishing experience a plus.
Excellent customer service and interpersonal skills.
Effective verbal and written communication skills.
Must be able to communicate their enthusiasm, empathy and genuine desire to serve the needs of our clients over the telephone and face-to-face.
Good organizational and problem-solving skills with strong attention to detail and the ability to switch priorities frequently.
Ability to adapt easily to change and work under pressure with multiple deadlines.
Effective task management for different customers with ability to meet deadlines.
Commitment to teamwork and maintaining confidentiality.
Pro-active self-starter with good judgment who takes ownership of responsibilities.
Regular sitting, stooping and bending on a regular basis.
