FLSA: Salary Exempt position. Work hours are 40+ hours per week depending on work load and production demand.

General Summary of the Position:

The Project Coordinator (PC) is a key person in building and managing our customer relationships. They are also responsible for customer retention. Because of this the PC is the primary internal contact for our customers. They are responsible for the customer receiving excellent service every time they contact Concrete Pipe and Precast. PCs maintain regular contact with the customer and facility personnel throughout the life of each order. The PC coordinates with Engineering management for distribution of jobs. They work with plant schedulers to assure the correct products are being produced on time. They coordinate with the plant dispatchers to assure the customer receives the product on the established delivery date. The PC will handle complaints from customers and will work to resolve these problems while on the phone when possible. If unable to solve the problem on first contact, the PC will gather all the appropriate information and see that a solution is provided in a timely manner. The PC is responsible for the overall satisfaction of the customer and for providing a satisfactory experience each time the customer contacts CP&P. As such they are empowered to ensure the customer’s needs are being met and must escalate to the CSM any situation where customer satisfaction is in peril.

Essential Functions:

  • Answer all customer telephone calls in a prompt and courteous manner.
  • Take ownership of each customer contact.
  • Return messages from customers requesting a call back in a courteous manner within the time frame defined by the Customer Service Manager.
  • Inform the Engineering Manager of incoming jobs.
  • Coordinate with Plant Schedulers and dispatchers to assure the customer gets the correct product, on-time.
  • Coordinate delivery requests with plant dispatchers.
  • Follow-up on job progress at regular intervals.
  • Participate in training on CP&P production practices, products, and applications.
  • Handle problems as they arise within the scope of limitations established by the Customer Service Manager (CSM).
  • Escalate problems to the CSM when they exceed the scope of the CSRs responsibility.
  • Initiate Corrective Action Request (CASE) when a customer calls with a complaint or problem.
  • Participate in communication meetings.
  • Assists in scheduling field support visits to resolve any issues that arise.
  • Make timely entries into Customer Relationship Management (CRM) application.
  • Notify salesmen of activity and issues within their territory.
  • Assist customer with administrative questions regarding quotes, invoices, credits and other issues.
  • Other duties as assigned.

  • Previous experience with Made 2 Manage Business System or similar ERP preferred

Qualifications:

  • Minimum 3 years experience in customer service, project management, or construction site development.
  • Familiarity with precast concrete systems preferred.
  • Required: High School Diploma
  • Preferred: Post secondary education/training;

TYPICAL MENTAL DEMANDS:

This position is fast-paced and multi-faceted requiring good organizational skills to handle a large volume of work. Accuracy is imperative. Mistakes result in loss of dollars and possible loss of customer. Project Coordinators must handle all persons in a calm and polite manner, regardless of person’s disposition.

WORKING CONDITIONS:

PCs generally work in an office environment with conditioned air and florescent lighting. Occasionally PCs are required to work in a production environment, or visit job sites with ambient air-conditions, loud noise, dangerous equipment, and variable lighting.
